Already using ESdat? What its record leaves open

    Limitations the ESdat profile records:

    • Packages, modules and laboratory connections vary by region and proposal
    • Offline synchronization, conflicts and recovery need a representative field pilot
    • Guidelines, QA settings, ChemCodes, units and laboratory mappings require specialist validation
    • Rejected reports can remain in data views unless deliberately filtered or deleted

Available only under stated conditions or not documented (checked 14 October 2026): Field Management plans and monitoring rounds; Offline field capture; Electronic chain of custody and laboratory requests; Automated laboratory exchange and validation; Laboratory approval, rejection and controlled revision; Environmental standards and exceedance support; OData, API and analytics integrations; Logger and sensor ingestion; Online, Enterprise and Server deployment options. Check each against the contract you hold.

ESdat evaluation checks, for every candidate

    • Functional depth: Reconcile a planned monitoring round, offline observations, eCOC, laboratory revision, configurable QA assessment, specialist approval and standards-based output using an independently checked dataset. Source
    • Usability & adoption: Have field, project-manager and reviewer roles complete prepared and ad-hoc work, recover from failed synchronization and identify every missing or unapproved record without expert prompting. Source
    • Implementation & TCO: Price the exact region, named users, modules, laboratories, migration, QA/standards configuration, training, API/OData, logger, hosting, security and ongoing support rather than a generic ESdat licence. Source
    • Integrations & API: Trace laboratory, field, migrated and logger records through the contracted OData/API and GIS paths; reconcile identifiers, units, qualifiers, timestamps, coordinates, permissions and failures end to end. Source
    • Security & trust: Test roles, named users, groups, project/site restrictions, approval authority, edit history and service credentials; review tenancy, SSO, backup, recovery, retention and assurance for the contracted deployment. Source

Leaving ESdat: what to plan for

    • Moving the sampling history is the first piece of work. The record describes how interchange files and validated imports bring data in, which says nothing about what comes out. Before cancelling, export one complete round to a copy and check that detection limits, qualifiers, dilution factors, batch identifiers and the original laboratory files all arrive intact, because a migration that drops them cannot be audited later.
    • List every consumer of the data feeds before the contract ends. Dashboards in Power BI, Excel models, automation flows and map layers may read from user feeds, from the separately priced Enterprise feed or from the API, and each of those is its own entitlement. Rebuilding them against a new source can be larger than the data move, and the logger telemetry that arrives by secure file transfer needs a new target as well.
    • Laboratory relationships are set up one laboratory at a time, so leaving means repeating them. The record says integrations vary by laboratory and the advanced electronic ordering and custody links exist only with selected ones. Write down, for each laboratory, which route you use today, who owns the mapping, and whether that laboratory can deliver to the replacement. Keep the original files they issued, not only the loaded results.

Who may have reason to stay with ESdat

    • A project whose laboratory reports pass through a named approver already has a routine that depends on product rules. The record says a later version cannot replace an approved report until it is rejected, and that edits keep old and new values with the person and date. Recreating that discipline in another tool is possible, but it has to be tested, not assumed.
    • Crews who run prepared monitoring rounds without signal have the most concrete reason to stay. The vendor documents disconnected collection in the field app, with later synchronisation. Weigh that against the stated limits: the browser portal is a different scope, laboratory sample details need the field management module, and the offline claim does not extend to reporting or integrations.
    • If the unmet need is corporate sustainability reporting, another environmental-data tool may not meet it either. The identity note excludes that scope outright. Sampling and analysis can stay where they are, with a separate disclosure tool beside them, and the practical task becomes a reliable handoff, probably through the feeds that already carry data to spreadsheets and dashboards.

What to test in a trial of a replacement for ESdat

    • Reject a laboratory report in the candidate, import the corrected version, then open every dashboard, export and regulatory output. The question is whether the rejected figures disappear everywhere or only where someone remembered to filter. The record notes that rejected results can stay visible in data views, so an approved-only rule has to be shown working in each place data leaves the system.
    • Give each candidate the same controlled dataset and calculate the expected answers yourself first. The record's own set contains duplicates, blanks, spikes, surrogates and holding-time breaches. Software can run configured checks, but a specialist still decides thresholds and usability, so note who has to set each limit and whether the tool keeps the source value and unit next to every result.
    • Test standards handling with a trap. Attach a limit that does not apply to the site or matrix and see whether the tool lets it drive a notification without any warning about version, effective date or location. The vendor says verifying compiled values remains the user's job, so the useful comparison is how easily each candidate lets you see and document that verification.
