    How Workhub charges

Workhub lists one paid plan, Standard, at USD 3 per user a month with a three-user minimum, billed month to month.

The invoice counts active users, and administrators pay the same rate as everyone else.

At this unit price the head-count rules matter more than the rate. The bill follows whoever is active in a month, so before comparing quotes decide who will be an active user (office staff, seasonal workers, administrators) and ask how the vendor counts each group.

Month-to-month billing means no year of spend is committed up front. The record does not say whether the USD 3 rate is held for any period, so ask for price-hold wording if you want predictable costs beyond the current month.

The price buys a worker-compliance and safety-administration platform, which the record says is not a complete quality management system. If the programme also needs document control, audits or corrective-action management beyond this scope, check them separately and add their cost.

The free plan and Standard differ in exports and access controls. A team that starts free and later needs advanced exports or restricted access moves to the paid rate at that point, so test your reporting and permission needs against the Free limits before relying on it.

What each Workhub plan covers, as recorded

    Free
A separate Free plan exists, with limitations the page does not spell out; advanced exports and access controls sit in the paid plan.
    Standard
Includes the paid features, at USD 3 per active user a month, from 3 users.
    What neither plan proves
Acknowledgements and course completions do not prove comprehension or competence, and approving a certificate does not verify the external issuer; these limits apply whichever plan is bought.
    Contractor orientations
Described as globally visible, so check whether contractor access can be limited to the right location and records before inviting outside companies.
    Integrations
The scope of the integration API was not established, so a link to a payroll, HR or site system is a question for the vendor, not an assumption.

    Entry cost, worked out

Standard: 3 users × USD 3 per user per month × 12 months = USD 108 per year.

    Editorial quote checklist

What to ask Workhub to put in the quote

Questions prepared by The QHSE Standard from the recorded terms and gaps; they are not statements from Workhub.

    • How active seasonal workers are counted on the monthly invoice.
    • Which Free-plan limitations affect your exports and permissions.
    • Any regional services your process needs; published SMS support covers Canada and the USA only.
    • How much later entry a disconnected inspection needs, since offline inspections use a blank-form handoff rather than automatic synchronization.
    • Who performs the later administrative handoff for a remote inspection, and how the original inspection time and the later entry time are both shown on the record.
    • Whether contractor access can be restricted to the correct location and records, given that contractor orientations are described as globally visible.
    • A written statement of what the integration API covers; its scope was not established, so any link to another system needs an answer before purchase.
    • Which proof you will still collect yourself: a recorded completion or acknowledgement does not show competence, and certificate approval does not verify the issuer.
    • Whether any trial exists: a time-limited free Standard trial was not established, and free-plan access is not labelled as a trial.

Vendor sources support the recorded prices and plan terms. Explanatory summaries, worked examples and quote questions are The QHSE Standard's editorial interpretation or calculations, not vendor statements.
