Customer satisfaction: perception, not just complaints
The most common mistake in this category is treating the complaint log as the satisfaction measure. It is not, and it is systematically biased: the customers who complain are a small and unrepresentative slice of the customers who are unhappy, and the ones who quietly leave never appear in it at all. A quality management system asks you to monitor customer perception, which is a sampling problem — and the software questions that follow are about who you asked, who answered, and what happened to what they said.

What perception monitoring is, and is not
ISO 9001 requires an organisation to monitor customers' perception of the degree to which their needs and expectations have been fulfilled, and to determine the methods for obtaining, monitoring and reviewing that information. Two things follow. The methods are yours to choose and justify, so no product can supply compliance; and perception is what is being measured, not delivery performance — an on-time delivery rate is a useful metric and is not a perception measure. ISO 9001 standard record
As elsewhere, ISO does not issue certificates; independent certification bodies do. A survey tool marketed as making you ISO 9001 compliant is making a claim to examine rather than a credential. ISO: certification — ISO does not issue certificates
The practical split is between reactive and proactive. Complaint management handles cases that arrive: it is investigation, containment and corrective action. Satisfaction measurement goes looking: it samples customers who have not contacted you, which is where the information you do not already have actually lives. They are different processes with different software, and running only the first is the state most organisations are in without realising it.
Three things that decide whether the number means anything
Sampling and response bias
Who is invited, how many respond, and how different the respondents are from everyone else. Ask the platform to show the response rate and the profile of non-respondents — a score built on the enthusiastic 8% is a measure of enthusiasm.
What is asked
A single overall score tells you the temperature and nothing actionable. Ask whether the instrument distinguishes product, delivery, support and commercial experience, because those have different owners and different fixes.
The route to action
A finding that stays in a survey dashboard changes nothing. Establish whether a theme can become an improvement action with an owner and a review date, in the same system where quality actions already live.
The demonstration: ask about the customers who did not answer
Run a survey and report the response rate
Not the score — the rate, and who did not respond. Establish whether the platform can characterise non-respondents at all, because that determines whether your number is a measurement or a self-selected sample.
Segment a poor result to an owner
Take a low score and break it down by product, region or account manager. Confirm the breakdown is possible at all, and that it survives the confidentiality rules you need for individual respondents.
Turn a theme into an improvement action
Create an action from a survey finding, with an owner and a review date, and confirm it lands where your other quality actions live rather than in a parallel marketing system.
Cross-check against the complaint log
Compare a period's survey findings with complaints received. If the two disagree, establish whether the platform can hold both views rather than reconciling them into one misleading number.
Produce the management review input
Export the methods used, the sample, the response rate, the findings and the actions taken as one set. That is the evidence a reviewer will ask for, and it is more than a chart of the score over time.
Customer satisfaction software to evaluate
Tekmon pays for a sponsored placement (above); its place in this list follows the same rule as every entry. How lists are ordered
Same rule for every product: tagged “Complaint Management” or “Quality Management”, with a sourced customer-satisfaction or complaint-handling capability in its record, or one the vendor stated to us, labelled as vendor-stated. 4 qualify.

Sources and evaluation limits
2 sources, checked 22 Sep 2026
Perception monitoring requirement and certification boundary: ISO 9001 standard record; ISO: certification — ISO does not issue certificates. Both checked 22 September 2026. Confirm the current edition of the standard with your certification body before treating any clause summary, including this one, as operative.
We publish no benchmark scores and no target response rates. Both vary so widely by sector, relationship type and survey design that a figure quoted without those is not transferable, and adopting someone else's target is a good way to optimise the wrong thing. Establish your own baseline and judge movement against it.
No product is named, ranked or tested here. Survey responses frequently contain personal data and sometimes free-text comments about named employees; handling, retention and access should involve whoever is accountable for data protection in your organisation. Nothing here is legal advice.
