Quality management software: ISO 9001 records and decisions

A quality management system is the set of processes, records and decisions an organisation runs; software holds part of it. Start from the records your QMS must produce and review, decide whether one suite or several specialist tools should hold them, then test each candidate with your own records. Software does not itself establish certification or regulatory conformity. Quality control, meaning inspection and measurement, is one process inside that system, and the records are thinner there: in the 212 profiles researched, 7 name SPC, sampling plans, first article or measurement analysis, against 41 that name nonconformance or CAPA.

ISO 9001:2026: what a QMS buyer should check first

ISO lists ISO 9001:2026, the sixth edition, as published on 16 September 2026. ISO 9001:2026 standard record Global ACI: ISO 9001:2026 transition requirements, 16 September 2026 It applies ISO's harmonized structure, with identical clause numbers, titles, common terms and core definitions across management system standards, to support alignment and integration with other management system standards such as ISO 14001 and ISO 45001. ISO Directives: harmonized structure for management system standards

Global ACI's transition requirements say that from 31 March 2028 new and initial accredited certifications may only be issued to ISO 9001:2026, and that organisations certified to ISO 9001:2015 have until 30 September 2029 to transition. Global ACI: ISO 9001:2026 transition requirements, 16 September 2026 Confirm the timing with your certification body; a vendor's "ISO 9001" template does not tell you which edition it was built for.

Ask each vendor which edition its templates, clause references and reports follow, and how it will update them. A software record can hold evidence for your system; ISO does not certify software, and neither the vendor nor the tool is evidence that your organisation conforms.

Main clause titles follow the harmonized structure and ISO's public preview of ISO 9001:2026 ISO 9001:2026 public preview (Online Browsing Platform), which lists subclauses only up to 7.1; the records column is an editorial buyer checklist, not the text of the standard or a conformity checklist. Read the standard for the requirements that apply to your scope.

ISO 9001 edition language in the vendor records

In the 212 profiles researched, 36 name ISO 9001 somewhere in their record: 25 list an ISO 9001 certificate and 19 mention the standard in a capability, description, FAQ or evaluation note (eight do both). Nine of the 25 certificate entries name ISO 9001:2015 and 16 give no edition. No record names ISO 9001:2026, and none names ISO 9001:2025, 2008 or 2000.

That describes what vendor pages say, not what vendors do. The certificate entries are the vendor's own statements about its organisation or named services, we did not review the certificate documents, and they do not say which edition a customer-facing template or clause reference follows. Of the 19 product-level mentions, one names an edition, and it is a certificate link in a site footer; the other 18 name the standard without an edition.

A 2015 label on a vendor's own certificate can be correct until that vendor transitions, but the same label on a template or clause reference is a question. ISO's record lists ISO 9001:2026 as the current edition and shows ISO 9001:2015 and its Amendment 1:2024 as withdrawn ISO 9001:2026 standard record, so ask which edition each exported report and template follows, using the transition dates above.

One eQMS suite or specialist point tools?

Consider a suite when the value is in the links between records: a CAPA that revises a procedure, which triggers training, which an auditor later samples. One data model avoids reconciling identifiers across systems, and regulated manufacturers often want one validation and access-control scope.

Consider specialist tools when one process is the bottleneck and the rest already works, for example drawing-linked inspection and measurement, supplier portals or customer surveys. Then treat integration as part of the purchase: name the records that must cross, who owns failed transfers and how an auditor will follow one item across both tools.

Either way, ask for the same demonstration and the same exit export. Vendors often sell quality, manufacturing, document and training applications separately under one brand: name the applications, roles and interfaces in writing before comparing the total price.

Reading the counts: where QMS processes sit and what is priced

A profile counts when a capability statement in its record names the process (records checked 28 September to 14 October 2026). Documented means the vendor's pages describe it; conditional means they tie it to a plan, module, edition, region or set-up; not stated means the record names nothing, or only an unverified statement, and is not evidence that the product lacks it. The method and the downloadable files are on the capability map.

Coverage is uneven. 109 of the 212 profiles name none of these eight processes and 19 name five or more; none names all eight. In the 22 profiles filed under Quality Management, 15 name five or more. Change control is named in 19 profiles, only 5 of them in that category. Sixteen profiles name nonconformance or CAPA, document control, training and audit management together, which is the chain the suite section above describes.

Inspection wording hides a gap. 79 profiles name inspections, but only 7 name SPC, sampling plans, first article or measurement analysis, and 75 of the 79 name none of those. A product that records inspection findings is not therefore a quality-control product; ask for the sampling plan and the measurement record.

Commercial detail is thin. Of the 22 Quality Management profiles, 8 publish a price amount (78 of 212 across all categories), 5 document a free trial, 6 offer a trial or demo only on request and 11 establish neither. One documents an offline workflow. See the security and trial evidence and the pricing index for the definitions.

Tekmon pays for a sponsored placement (above); its place in this list follows the same rule as every entry. How lists are ordered

Same rule for every product: tagged “Quality Management”, with a sourced QMS, nonconformance, CAPA or document-control capability in its record, or one the vendor stated to us, labelled as vendor-stated. 33 qualify; the first 8 are shown here. The directory below continues with the other 25 tagged profiles, 25 of which also meet the rule.

    Specialist QMS guides

Run one record through the QMS

Identify one procedure, its approved version and the people who must use it.
Create a quality event against that version, attach evidence and assign a reviewer.
Change the procedure and demonstrate how affected records and training are handled.
Export the approved record, version references and review evidence.

    Keep the demonstration honest

These are proposed demonstration exercises, not outcomes from testing performed for this guide. Bring a representative record, an intentional error and the required user roles. Record what was demonstrated, which configuration was used and what remains unresolved. Do not substitute a dashboard for the underlying evidence.

Have the vendor show permissions, previous values and the exit export. Confirm whether external contributors, reviewers, API access, migration, validation support and training are included in the quote. A product connection or public API description does not establish a completed customer integration.

    Official sources and scope

    8 sources, checked 19–24 Sep 2026

Global ACI transition page checked 24 September 2026. The ISO standard record, public preview and Directives were checked on 22 September 2026 for our integrated management system guide; iso.org could not be retrieved on 24 September 2026, so those ISO facts carry the earlier date. Selected product pages checked 19 September 2026; commercial and offline details retain the separate profile research dates shown on each profile. No new price verification, rating or hands-on test is claimed.

For running ISO 9001 with ISO 14001 and ISO 45001, see the integrated management system guide. Use the demo checklist and total-cost worksheet to keep unresolved requirements visible.

    Frequently Asked Questions

Does ISO 9001 require quality management software?
No. The standard sets requirements for the management system, not for a tool. Software is worth evaluating when keeping documents, training, nonconformities, audits and corrective actions current and linked takes more effort than your team can sustain manually.
Which ISO 9001 edition should the software support?
ISO 9001:2026 was published on 16 September 2026. Under Global ACI's transition requirements, new and initial accredited certifications may only be issued to it from 31 March 2028, and ISO 9001:2015 certificates must transition by 30 September 2029. Ask the vendor which edition its templates follow and confirm your timing with your certification body.
What happened to ISO 9001:2015, and is there an ISO 9001:2025?
ISO's standard record (iso.org/standard/9001) lists ISO 9001:2026, the sixth edition, published 16 September 2026, and shows ISO 9001:2015 and its Amendment 1:2024 as withdrawn. It lists no ISO 9001:2025. Global ACI's transition requirements give organisations certified to 2015 until 30 September 2029 to transition; confirm your own date with your certification body.
Which QMS processes do vendors document, and which are rare?
In the 212 profiles researched, 69 name audit management and 41 nonconformance or CAPA, but only 19 name change control and 7 name SPC, sampling plans or measurement analysis. A missing statement means the record names nothing, not that the product lacks it; ask each vendor to demonstrate the process on your own record.
Do quality management software vendors publish prices and free trials?
Of the 22 Quality Management profiles researched, 8 publish a price amount (78 of 212 across all categories), 5 document a free trial and 6 offer a trial or demo only on request; for 11 neither was established. Compare quotes on the same users, modules, interfaces and services.
Does a configured workflow establish compliance?
No. Your organization must define applicable requirements, assess configuration and approve the evidence. A software purchase is not certification or an assurance conclusion.
Should we buy an eQMS suite or separate tools?
A suite fits when records must stay linked across documents, training, CAPA and audit, or when one validation scope matters. Separate tools fit when one process is the bottleneck; then name the records that must cross between tools and who owns failed transfers.
    How should prices be compared?
Use the same roles, modules, interfaces and services in each proposal. Refer to the sourced profile conditions; do not infer a complete implementation price from one licence amount.
    Can the workflow run offline?
Use each product's documented limits in the table. Demonstrate preparation, capture, review and server receipt separately rather than treating mobile access as universal disconnected operation.
How can we judge whether it is worth buying?
Define an acceptance criterion and measure the current work and pilot result. Include recurring administration and correction effort; no generic ROI or defect-reduction percentage is established here.
