    Workiva

Workiva documents sustainability metrics, collection spreadsheets and linked reporting outputs. Workiva Carbon adds a named emissions-management scope. Build the proposal around required workspaces, roles, applications and the handoff from source data to approved disclosure.

    Evidence: Researched profile

    Who is Workiva for?

Reporting teams coordinating sustainability contributors and disclosure reviewers. Confirm Carbon, Wdata, workspace permissions and interfaces in the proposal; a platform connection is not an all-inclusive licence.

Workiva may justify a scoped quote when source-linked disclosure preparation and coordinated review address a demonstrated reporting problem. It is less suitable for a simple inventory-only requirement if the workspace, application and implementation scope adds cost without needed controls.

Watch for: No verified public subscription amount. Cross-workspace use needs role and Wdata scoping.

    Capabilities and scope

This profile covers Workiva sustainability reporting and the separately named Workiva Carbon offering.

    Metric collectionDocumented by vendor

Collect defined values through Program, linked source files or contributor tasks.

    Metric configuration and supporting evidence
    Evidence requirementsDepends on scope

Metric configuration can require notes or attachments before completing a value. Configure these requirements for the relevant metric.

    Metric configuration and supporting evidence
    Approval and returnDocumented by vendor

Approvers can accept or return prepared values. Any approver in a shared approval step can complete that step; use separate steps for required successive approvals.

    Metric preparation and approval
    Source-linked reportingDocumented by vendor

Collection and Factbook workflows connect metric values with disclosure preparation; demonstrate the refresh process after a correction.

    Cross-workspace sharingDepends on scope

Query-based sharing requires Wdata in the receiving workspace and appropriate owner and query roles.

    Cross-workspace data sharing
    Carbon managementDepends on scope

Workiva Carbon is a named offering; specify purchased scope rather than assuming it is included in every reporting licence.

    Sustainability APIDepends on scope

Technical documentation covers programs and metric values with OAuth credentials and operation-specific scopes. Confirm commercial entitlement, supported endpoints and implementation separately.

    Sustainability API prerequisites and operations
Periodic and dimensional metric valuesDepends on scope

A metric can collect annual or multiple values by period and dimensions such as location or demographic. Confirm dimensional model, limits and source-file design.

Metric values, dimensions and collection routes
Collection status and remindersDocumented by vendor

Views expose task states from not sent through returned and complete, with due-date and manual reminders. Assignments are for workspace members; do not infer an unrestricted supplier portal.

    Metric task status and reminders
    Framework-content alignmentDepends on scope

Metrics can link to disclosures or requirements in Sustainability Explorer, including archived-reference visibility. Confirm enabled frameworks and versions; custom tags are not maintained framework content.

Metric alignment to Sustainability Explorer disclosures
    Controlled metric restatementsDepends on scope

A Data Collection spreadsheet may record revised values, variance, notes and attachments while retaining the disclosed value and feeding Factbook on refresh. If absent, it must be requested from the CSM.

    Workiva pricing

    Scoped proposal; unlimited seats

No amount appeared on the pricing page on 26 September 2026. Its FAQ says pricing reflects each organization's needs, some solutions use good/better/best packaging, and all offerings provide unlimited seats or users; purchases go through a sales representative. Itemise the sustainability solutions (Workiva Carbon must be expressly scoped), implementation, interfaces, support and renewal terms, in a named currency and billing term.

Which product scope should the quote cover?

Sustainability Explorer, Sustainability Program, Data Collection and Factbook workflows; Workiva Carbon must be expressly scoped.

    Demo script

Proposed demo: supplier evidence to approved metric

    1. Bring a supplier record with a missing unit and identify the internal contributor or agreed external intake route.
    2. Require supporting evidence, return the incomplete value and have the contributor correct it.
    3. Use separate reviewer steps where both approvals are required; inspect the resulting approval record.

Proposed demo: source correction to disclosure

    1. Link one source value to the proposed reporting output.
    2. Approve it, then demonstrate a correction and identify who must review it again.
    3. Compare the revised disclosure, prior evidence and exported review trail.

    Proposed demo: controlled system handoff

    1. Scope Carbon, Wdata, source and destination workspaces and any API access in the proposed licence.
    2. Use a restricted integration identity to move a sample metric and attempt access outside its intended scope.
    3. Demonstrate failed-update recovery and identify the administrator responsible for reconciliation.

Ask the vendor to show you

    1. Correct a collected value after review and show the changed reporting output.
    2. Show a contributor denied access to another workspace.
    3. Demonstrate the Carbon-to-disclosure handoff using only quoted applications.
    4. If both reviewers must approve, show separate approval steps rather than two names in one step.
    5. Show the supported supplier intake route without assuming workspace tasks provide unrestricted external access.

    Checks specific to this product

    Workspace and application scope:
Ask the vendor to list in the proposal which workspaces, applications and roles your programme needs, and whether Sustainability Program, Data Collection, Factbook, Wdata and Workiva Carbon are each included. The pricing page and solution pages do not make the platform an all-inclusive licence. Keep the written scope alongside your demonstration notes.

    Questions the sources answer

Is Workiva Carbon included in every subscription?

No universal inclusion was established. Specify Carbon and the reporting applications in the proposal.

Must every approver in one step approve?

The help article says any approver in a shared step can complete it. Configure separate successive steps when multiple distinct approvals are required.

Are contributor tasks an unrestricted supplier portal?

That was not established. The reviewed workflow assigns workspace members; confirm external supplier onboarding, permissions and licensing separately.

Does API documentation establish included API access?

No. It explains authentication, scopes and operations, not the commercial entitlement or a completed connector. Confirm supported endpoints and licence terms.

Can another workspace receive Program values automatically?

Query-based sharing has Wdata and role requirements. Demonstrate the actual receiving workspace and permitted data before relying on the handoff.

Does linked reporting guarantee an assurance outcome?

No. Your team must evaluate source quality, approvals, reporting requirements and final outputs; software documentation is not an assurance opinion.
