Leaving ITRAK 365: what to plan for
- Much of the data sits in your own Microsoft tenant, which the record describes as customer Dataverse for structured contractor data and SharePoint for approved documents. That helps access, but the record still tells buyers to test an export of records, relationships, attachments, identities and audit history, and to agree the vendor's help and its cost beforehand. Rehearse that export before giving notice, because relationships and audit history are the parts the record names as needing a test.
- The inventory to rebuild is your configuration, not the product's feature list. Inspection forms, risk matrices, corrective-action routes, hazard assessments and any connector flows were set up on a configurable platform, and the record asks who owns custom work and upgrade compatibility. Write down which items are standard and which are custom, because the custom ones carry most of the rebuild effort and none of them can be assumed to have an equivalent in the replacement.
- Separate the Microsoft licences you bought from those that came through the ITRAK order form. The record says Power Platform licences are included only if bundled there, and it lists Power Apps, Power Pages, Power BI, Dataverse, SharePoint and Entra among the entitlements to check. Whatever was bundled needs a new source on exit; whatever you hold yourself carries on, and external contractors on guest access will need a new route in.
Who may have reason to stay with ITRAK 365
- The record's fit statement is standardising safety processes inside an existing Microsoft environment. If your Dataverse, SharePoint, Power BI and Entra set-up is already the place your other systems read from, leaving means re-pointing each of those reports and identity links as well as moving the safety data, and that cost can outweigh a feature gap.
- Crews that work without a connection have a documented reason to stay: the native app stores records locally and syncs to Dataverse on reconnection, with camera and GPS capture. A replacement has to match that for your exact forms, including attachments and conflicting edits; the offline lines in the candidate cards above show which ones even claim it.
- Do not leave only because of a roadmap item, and do not stay on the promise of one. The record describes structured contractor vetting as future roadmap and places SCORM compatibility in version 5.3. Ask what the release you are contracted for contains today; a gap that the next release closes is a different decision from one that stays open.
What to test in a trial of a replacement for ITRAK 365
- Reproduce the record's disconnected-inspection exercise on the candidate: dispatch a prefilled inspection, take the device offline, capture a finding with a photo and position, make a competing edit from a connected account, reconnect, and read how conflict, attachment and audit history were handled. A demo on a good connection says nothing about this.
- Test the contractor route you rely on. Invite an outside company, collect its documents and training evidence, trigger an expiry reminder, and confirm that the contractor sees only what you allow. Ask the candidate to show current risk-based company approval, and write down explicitly anything it presents as planned instead.
- Load a real sample of your exported records into the candidate, with their relationships, attachments and history, and see what arrives intact and what is flattened. Migration, implementation and training appear as separate quote lines in the record, so ask for each to be priced rather than folded into a subscription figure.
