Already using Safesite? What its record leaves open
Limitations the Safesite profile records:
- Free reporting is restricted to the last 30 days
- Completed inspections cannot be edited according to the help guide
- A separate verifier for hazard resolution was not established
- Paid-price currency and billing basis require confirmation
Available only under stated conditions or not documented (checked 14 October 2026): Worker access. Check each against the contract you hold.
Safesite evaluation checks, for every candidate
- Functional depth: Trace an inspection answer into evidence and follow-up. Source
- Usability & adoption: Test invitations and project selection with frontline workers. Source
- Implementation & TCO: Include the required reporting horizon and member model in the comparison. Source
- Integrations & API: Verify required exports and any API availability directly; export support does not prove a general API. Source
- Security & trust: Review role access, retention, account removal and sensitive incident-data handling. Source
Leaving Safesite: what to plan for
- Mind the reporting window when exporting history. Free access is described with unlimited members and guests but only a 30-day reporting window, so on that plan older records may not be reachable in reports at the point of exit. Export administrator reports by project or group on a schedule well before notice, and confirm how long anything older is retained.
- Decide how to treat records that cannot be edited. The help guide says completed inspections cannot be changed, and completed meetings are locked too, so history contains mistakes that were never corrected in place. Migrating such records as a read-only archive, with a note of known errors, may be safer than re-entering them, and certificate files attached to personnel need their own extraction.
- Expect to onboard every worker again. Access is by administrator invitation with project assignment, so the new product starts with an empty roster. Templates that carry custom content in more than the four documented interface languages must be recreated by hand, and the record is clear that translation of custom content is not automatic. Allow time for each language to be checked by a speaker.
Who may have reason to stay with Safesite
- A small team with modest history needs may have little to gain from moving. The free plan allows evaluation, and the paid plan is shown at $16 per member per month with an annual discount, though the currency was not stated, and the free reporting window is the one limit to weigh. If the 30-day horizon is enough, staying on the free plan costs nothing; if it is not, compare the paid price with other tools on the same retention need.
- Multilingual crews who also work offline have two documented reasons to stay, and a replacement has to match both for the same people. The app describes English, Spanish, French and Portuguese, and core functions save work without connection. A move does not fix the limit on custom content, since translation of it is not automatic, unless the candidate shows how it handles that.
- Two complaints may follow you to another product unless it is shown otherwise. The record does not establish a separate verifier for hazard resolution, and insurance services are a different commercial scope from the software subscription. Ask any candidate how verification works, and ask your current vendor whether any insurance terms depend on the software before ending it.
What to test in a trial of a replacement for Safesite
- Run a toolbox talk through to its attendance record on the candidate. Assign a subject, record a linked observation or hazard, add attendees, and close with signatures or a photo, then open the report and export the PDF. The record does not establish these signatures as regulated digital signatures, so ask your auditor whether the evidence format is acceptable.
- Prepare phones the way crews will before they lose coverage. Load templates and attachments, switch on airplane mode, complete a task, reconnect and compare the result with administrator reporting. Use two workers on different languages so that preparation steps and labels are checked as well. Record exactly what each device had to download in advance.
- Test resolution and correction together. Raise a hazard, confirm that the assignee is notified and must supply a comment or photo to close it, then try to have an independent person reject a weak resolution. Finally, complete an inspection with a deliberate error and ask how it is corrected and how the audit history shows the change.
