Already using SafetyReports? What its record leaves open
Limitations the SafetyReports profile records:
- Suite subscription prices require a quote
- Some official pages retain earlier plan terminology
- Offline steps vary by module and include explicit synchronization
Available only under stated conditions or not documented (checked 2 October 2026): Offline inspections; Offline JSAs; Module entitlements; Data export and integration; Training records and recurring requirements; Configurable field forms; Safety observations; QR and route-based asset inspections. Check each against the contract you hold.
Listed candidates that document a capability with a related name (confirm the scope in a demo):
- “Offline inspections”: myosh's “Inspection form configuration”, SafetyAmp's “Custom inspections and scoring”, Tekmon's “Configurable audit and inspection templates”, VelocityEHS's “Scheduled inspections and finding follow-up” and Workhub's “Scheduled inspections”.
- “QR and route-based asset inspections”: myosh's “Inspection form configuration”, SafetyAmp's “Custom inspections and scoring”, Tekmon's “Configurable audit and inspection templates”, VelocityEHS's “Scheduled inspections and finding follow-up” and Workhub's “Scheduled inspections”.
SafetyReports evaluation checks, for every candidate
- Functional depth: Inspect an exported report and the associated action closure. Source
- Usability & adoption: Observe users switching between field and administrator tasks. Source
- Implementation & TCO: Compare the exact suite or standalone scope and service costs. Source
- Integrations & API: Test exports and the quoted API entitlement with the receiving system. Source
- Security & trust: Request the access model, retention terms and evidence for handling health information. Source
Leaving SafetyReports: what to plan for
- Export what a client or inspector may ask to see again: completed reports with their evidence and signatures, and the checklists themselves. The web documentation describes report and checklist exports, and PDF or Excel output for configured forms, while API access is a separate add-on. Corrective items still open at cutover are the awkward part, because tracked items carry Open, In Progress or Closed status in this system, so close or list them before the old account lapses.
- Make sure every field device has both synchronised and submitted. The record separates a successful sync from final submission of an inspection, and gives separate preparation and sync steps for job safety analyses, so a report can sit on a phone in a state that looks finished. Collect a device-by-device confirmation shortly before the switch rather than trusting that the last visit reached the server.
- Write down which modules you bought and how users were counted. JSA, Scan, Forms, Training and Observations are separate entitlements in the record, API access and Observations are add-ons, and anonymous observations do not count toward named-user targets. A user count carried over unchanged to a replacement that counts differently can mislead a quote; the free inspection account, limited to two checklists and two inspections a month, is a different starting point again.
Who may have reason to stay with SafetyReports
- The product is described as a fit for consultants and construction teams whose report and follow-up routine matches its output. Published examples show several report layouts with preloaded OSHA and industry checklists, evidence and signatures. If clients have come to expect your report in that form, changing the tool changes a deliverable they see, and a candidate has to reproduce it rather than only record the same data.
- Two limits the record states could justify a move for some teams. A responsible party can submit an action as complete and so close it, with independent approval or rejection not established, and the reviewed sources do not establish audit-programme governance or auditor impartiality. A team that needs a second person to verify closure, or formal audit-programme control, should test those points in the candidates.
- An offline complaint may be a tier question here. The record says free inspection access does not include offline mode, that paid or full mobile scope does, and that each module has its own preparation and sync steps. If you are on the free account, the cause is the plan, so check the plan before moving vendor; if you are on the full scope and still dislike the manual switch, compare the candidates' procedures.
What to test in a trial of a replacement for SafetyReports
- Prepare a job on the candidate, check that your plan really includes offline use, record a finding with the device disconnected, reconnect using the documented procedure and confirm both that it synchronised and that the report was finally submitted. Then open the resulting report as a client would. Ask each vendor whether sync and submission are one step or two.
- Follow one negative finding to closure: submit it, check that it gets its own tracking record, assign a responsible party, look at the notification that person receives, move it through each status and then confirm the original inspection still shows the finding and its updates. Try to close it as the same person who owns it and see whether anything stops that.
- Check exports and access with the receiving system and with outsiders. Export a report and a checklist and open them where they will be used, ask what the quoted API permits, and create a near-miss with an annotated photo to see what a supervisor and an external oversight role can open, using non-sensitive data, since the record asks which controls apply to injury information.
