Where the two scopes differ
The two records are organised around different anchors. The Fieldwire record describes construction field-management software in which tasks, photographs and checklists hang on drawings and project locations, with custom forms for safety audits, job hazard analyses and quality inspections available from the Business tier. It says plainly that the product is not established as a full EHS suite. The Procore record describes Quality & Safety as a group of tools inside a wider construction platform (inspections, observations and incidents, with Action Plans described on the product page) and warns that a menu label does not show that a tool is licensed or switched on for a project. One record therefore starts from where on the drawing a finding sits, and the other from which project record it turns into.
Cost is described on different bases. Fieldwire shows a free Basic plan limited to five users, three projects and a hundred sheets, then Pro at $39, Business at $64 and Business Plus at $89 per user per month billed annually, with monthly billing at $54, $79 and $104 according to the billing guide. Custom forms start at Business, while reports and exports begin at Pro; API access and single sign-on are handled by contacting sales. The Procore record found no amount, only a custom-quote route, an annual contract described as fixed-price with unlimited users, data and support, and a pricing FAQ that states an upfront fee by product based on annual construction volume. A seat count is therefore the stated basis for one quote, and construction volume the stated basis for the other. Neither record verified a currency, and the tiers and products cannot be paired.
Both records document who confirmed a step, in different forms. Fieldwire's checklists hold up to five hundred items per task and its reports can show who ticked each item and when. Its forms support signature sections, and for a person outside the account the record describes an onsite option in which a user types the signer's name and an offsite route through an exported PDF, neither of which establishes identity assurance. Procore's Action Plans can be built from company, project or ready-made templates, can require signatures from assignees, and use verification methods named hold point, measurement, surveillance, test or witness point. Observations carry assignees, due dates and review statuses, and a fillable Toolbox Talk sign-in sheet can be loaded as a form. The Procore record says this is a form workflow, not a training system.
Disconnected work and incident handling complete the picture. Fieldwire's help page says a user must be logged in before going offline, that previously downloaded content can be viewed and added to, that tasks receive their numbers only when a device reconnects and the app is open, and that the Windows app, in beta, has no offline function. Procore's FAQ says only items already viewed online are available offline, that new project data cannot be fetched until the connection returns, and that deleting the app loses the cache. For incidents, the Procore record documents private-by-default settings and a list export containing number, title, date, location and status, which it says is not a full investigation archive. The Fieldwire record describes no incident investigation workflow, which is a statement about what was reviewed and not about the product's roadmap.

When each is the safer first demo
Start with Fieldwire by Hilti when
Fieldwire is the safer first demo when the failing handoff is location and revision: a finding pinned to a sheet, assigned to a subcontractor, with a form on the Business tier and a drawing that changes mid-project. Ask the vendor to upload a revised sheet with an ambiguous number, resolve the conflict, and show which tasks and users move to the new revision. Run forms on the tier you would buy, since Pro does not carry custom forms.
Start with Procore Quality & Safety when
Procore Quality & Safety is the safer first demo when the failing handoff is a finding that must be reviewed, closed and linked to an incident or a plan of corrective work. Ask for the enabled tools on the proposed subscription first, then follow one failed inspection item into an observation, a reviewer's rejection and closure. Add a private incident and test who can open it, because the record warns that a visibility setting needs checking against the real role matrix.
A two-week evaluation plan
Ask Fieldwire by Hilti
- Itemise the plan for each role, say how invited subcontractors and short-term users are charged, and state whether custom forms, API access and single sign-on are in the quote or separate lines.
- Ask how a template change reaches checklists and forms already in use, what warns a user that a version is obsolete, and which route a third-party signer would use.
Ask Procore Quality & Safety
- List the tools enabled in the quote (Inspections, Observations, Incidents, Action Plans), state how the annual construction volume basis applies to them, and give growth and renewal terms.
- Say which of training, permit to work and statutory reporting are expected to run elsewhere, and what an investigation export contains beyond the incident list.
Week 1, disconnection. In Fieldwire, log in first, download the project to two phones, switch off the network, add a task, a checklist and a photo, close and reopen the app, then reconnect one phone before the other and look at task numbers, duplicates and the stale sheet. In Procore, view the needed inspection online so that it is cached, disconnect, capture a finding, reconnect and check that the office record matches. Record anything that needs a connection that your crews will not have. The records establish no self-service trial for Procore and only a limited one for Fieldwire, so agree evaluation access in writing.
Week 2, records and people. In Fieldwire, change a form's permissions and its template centrally, then export the checklist timestamps, form history and signatures for one task. In Procore, create a private incident and compare what the reporter, an administrator and an unrelated project user can open, run an observation through rejection and closure, and build one Action Plan with a verification method and a signature. Finish with a one-year price on each vendor's own basis: users and tiers for Fieldwire, products and construction volume for Procore.
Worked evaluation scenarios
These scenarios are hypothetical. They show how to turn the record facts into a demo test and what outcome would change a choice; they are not case studies or customer results.
Hypothetical: forty subcontractor staff invited for a few weeks each
A general contractor invites about forty subcontractor staff to a project, most for only a few weeks. The Fieldwire record describes per-user plans billed annually, a billing guide that covers invited-user overages, and a question about which invited contractors create licence charges. The Procore record describes an annual contract said to include unlimited users, with an upfront fee by product based on annual construction volume, and asks how that applies to Quality & Safety. Ask each vendor to price this exact project in writing. For Fieldwire, invite one short-term user and show the licence and billing effect. For Procore, ask for the itemised scope and the volume figure used. If invitations push cost beyond budget, or the volume basis spans more projects, the pricing model matters before features do.
Hypothetical: a checklist template is changed while two crews are offline
A safety manager revises an inspection template on Monday morning while two crews work with no signal until Wednesday. The Fieldwire record says editing a template does not update checklists already placed in tasks, and that account-template changes are not carried into project copies automatically. The Procore record says offline use depends on items cached beforehand and that offline entries are not visible to the office until synchronisation. Change the template centrally, have each crew complete an inspection offline with a photo, reconnect one device first, and check which version each completed record used, whether anything warned the user, and what the office sees. If completed entries use an obsolete version silently, the template governance needs written rules.
Hypothetical: a client asks for an investigation pack after a near miss
A project owner asks for documentation of a near miss within a week: what happened, who saw it, photographs and the corrective actions. The Procore record describes incident records with investigation and root-cause fields, witness statements, private-by-default settings and a CSV or PDF export of list fields only. The Fieldwire record describes custom safety forms on Business and above, with signatures, photos and plan links, and does not establish a complete EHS system. Build the pack for a synthetic near miss in each product, export it, and have an unrelated project user try to open it. The choice would change if the fields the owner expects cannot be held, or if attachments and statements have to be delivered by another route.
What the records do not establish
Fieldwire by Hilti
- The currency of the dollar prices, or a trial open to every buyer: the documented route is a limited beta for eligible new accounts in the United States and Canada.
- The cost of API access, single sign-on, onboarding or invited-user overages for your project.
- Incident investigation handling, or that a configured form implements your approval and retention procedure.
- That optical character recognition names and versions every sheet correctly, or that a signature route shows who signed.
Procore Quality & Safety
- A subscription amount, or how the annual construction volume basis applies to Quality & Safety.
- Whether Action Plans are included in the package you would buy.
- A complete permit-to-work, training or statutory reporting workflow.
- That an incident-list export carries every investigation record and attachment, or a verified free trial.
Neither product
- Which product reduces incidents or rework: no outcome data was reviewed for either.
- Implementation time or customer satisfaction. Neither record uses independent customer reviews.
- Any hands-on result: both records review vendor documentation.
