Where the two scopes differ
Each record describes configurable mobile forms that capture data offline and synchronise later, and they sit at different distances from the review desk. The Fluix record is organised around what happens after submission: conditional routing, multi-step approvals, document status with timestamps, datasets and guest access. The Kizeo record is organised around the form itself: required fields, visibility rules, calculations, reusable lists and reports sent to defined recipients, with supervisor validation described as a pattern the buyer assembles from user fields, rights and transfer rules. The question is whether the review route is configured in a workflow tool or assembled from form rights.
The price lists constrain different things. The Fluix pricing page lists Crews at 29 per user a month with a five-user minimum, Operations at 49 with a 15-user minimum and a quoted Enterprise tier from 25 users; approvals, guest access and prefilled forms sit in Operations. The Kizeo US page lists Smart at 18 and Business at 28 per user a month on annual billing, with one plan for every user in an account, offline access and the API in Smart, and voice and photo input and BI connectivity in Business. The Kizeo record does not establish a seat minimum or a guest role; form-level user rights are documented separately.
Offline behaviour is documented with different emphasis. Fluix's article says the app caches assigned forms, holds submissions in an outgoing queue, needs a connection for first login, and loses anything unsynchronised if the device is lost or reset or the app is reinstalled; it adds that version control flags a conflict when two people edit one form offline. Kizeo's support article describes one connection to authenticate and load forms, then a pending list that moves to sent on reconnection, and the record says offline reports appear after synchronisation. Conflict handling, queue limits and device-loss recovery were not established for Kizeo, a gap in the record, not a finding about the product.

When each is the safer first demo
Start with Fluix when
Start with Fluix when the record has to travel after the inspector finishes: a failed check routed to a reviewer, returned for correction, escalated when a deadline passes and archived with its status history. Run the demonstration on the tier that holds those features, and ask who maintains the routing after go-live.
Start with Kizeo Forms when
Start with Kizeo Forms when the form and its report come first and the team will design its own review step. The advertised 15-day trial needs no card and allows up to ten users. Open with the Smart and Business boundary, since the single-plan rule means a few people who need voice input can change the price for everyone.
A two-week evaluation plan
Ask Fluix
- Which tier and application hold each form, approval, guest and dataset requirement, given that some help pages still use older plan names, and what do the seat minimums add up to for our headcount?
- How much storage is included: the pricing comparison shows a 5 GB figure in the Crews column of its storage row, while the offline article says every account has 10 GB, so which applies to the quote?
Ask Kizeo Forms
- Can the account mix roles without moving everyone to Business, and what are the minimum seats, tax treatment and currency for our region?
- How are failed report deliveries, webhook retries and duplicate submissions detected, and who owns that monitoring?
Week 1, one inspection in both with synthetic data: a required photo on a failed check and a signature. Log in while connected, disconnect, complete the form and look at the queue before reconnecting. Then restart the device while a submission is still queued, note what survives, and ask each vendor in writing what recovery exists after a lost device. Fluix's 14-day no-card trial is documented on a help page that still uses an older plan name, while the pricing page routes trial access through its team, so confirm what it includes.
Week 2, review and handover. In Fluix, let the deadline on a returned record pass once and read the escalation, the responsible user and the status history, then export the dataset and check that only the intended fields arrive. In Kizeo, configure a transfer-only group and a supervisor, test approval, rejection and reassignment while the manager is away, and send one webhook to a test endpoint. Finish with a first-year cost for the same headcount and roles.
Worked evaluation scenarios
These scenarios are hypothetical. They show how to turn the record facts into a demo test and what outcome would change a choice; they are not case studies or customer results.
Hypothetical: eight employees and one subcontractor who must sign in
A building contractor has eight employees who inspect and one subcontractor who should see only its own forms. The Fluix record lists guest access under Operations, which its pricing page sets at a 15-user minimum, while Crews starts at five users. The Kizeo record shows one plan for every user in an account and does not establish a guest role. Ask each vendor to put the subcontractor into the quote, then test it: create the login, send one form and confirm that unrelated forms, datasets and storage stay closed. If guest access means paying for fifteen Operations seats, or Kizeo's form-level rights cannot confine an outsider, the shortlist would change before any feature comparison begins.
Hypothetical: a phone swap in the middle of a shift
A technician's phone fails at noon after four inspections were finished offline, and a replacement is issued. Fluix's offline article says unsynchronised data is lost if the device is lost, damaged or reset, and that a reinstall removes queued submissions. The Kizeo record says device-loss recovery was not established, and its support article describes a pending list that uploads when a connection returns, and its app best-practices page advises sending pending data before a device change or uninstall. On spare phones, finish two forms offline in each product, reset one phone, reinstall the app on another before reconnecting and count what arrives. If either product loses finished work, write a sync-at-break rule into the procedure; if Kizeo cannot say what survives, treat that answer as an open risk.
Hypothetical: a failed door check and a manager on leave
A failed fire-door check must reach a manager within a day, but the named manager is on leave. The Fluix record documents conditional routing, overdue redirection and status timestamps, with plan entitlement still to confirm. The Kizeo record describes supervisor validation as a configurable pattern built from user fields, rights and transfer rules, and asks for reassignment and rejection to be tested. Submit the failed check in each product, let the deadline pass or the manager stay silent, and note who receives the record next, what the history shows and whether an administrator can see the delay. If the record simply waits with the absent manager in either product, the routing design needs a named deputy before the pilot continues.
What the records do not establish
Fluix
- The currency, billing term and any volume discount behind the listed amounts.
- Which current plan name applies to the older help pages that still mention Core.
- The SOC 2 report period and exceptions, since the report was not reviewed; the pricing page labels it Type II.
- Behaviour of failed HTTP or connector submissions, retries and duplicate prevention.
Kizeo Forms
- Minimum paid seats, tax treatment and rates outside the United States.
- Offline conflict resolution, queue limits and device-loss recovery.
- A prebuilt supervisor validation or safety module.
- A delivery guarantee for webhooks, or voice interpretation that runs offline.
Neither product
- Whether either product deploys faster or costs less over a contract term: neither record rests on hands-on testing, only on vendor documentation.
- Any verified customer review score, since both records exclude legacy ratings.
