    Where the two scopes differ

These records start in different places. SafetyChain's is organised around the production floor of a food or beverage plant: configurable checks, HACCP monitoring with supervisor verification, in-process measurements with statistical process control and product holds, CAPA records, a supplier portal with expiry monitoring and corrective requests, and a mobile app documented as working online and offline. Qualio's is organised around the document that governs the work: controlled procedures, the training they trigger, quality events, supplier approval policies and internal audits, with design controls, parts and software-development evidence on the product side. The records overlap on corrective action, suppliers and audits, but the evidence that opens those records comes from different places: plant measurements in one, a changed procedure or supplier issue in the other.

Regulated scope is expressed in different vocabularies. SafetyChain's pages refer to HACCP, critical control point and sanitation records, SQF, BRC and customer-specific programmes, time-stamped sign-offs, lot traceability and permission-based auditor profiles, and the record adds that these support evidence management without certifying the buyer's programme. Qualio's record is of a life-science eQMS; its pricing page lists FDA, MDR, ISO and GxP frameworks, three in Foundation and five in Growth, with more available for a fee, and its validation overview classes the product as a configurable system under GAMP 5, with a support pack of a test plan, a requirements trace matrix and video evidence of automated tests, while the customer qualifies Qualio as a supplier and summarises suitability for use. The SafetyChain record does not describe electronic-signature controls under 21 CFR Part 11 or a validation package, and the Qualio record does not describe food-safety programmes. Where your regulator or customer expects either, treat it as a written question to the vendor.

Packaging differs in unit. SafetyChain is described as a monthly subscription per facility, with no charge by user and a one-time setup fee, in quote-based packages named Essential and Advanced, with production monitoring, machine data through Ignition, a sandbox training environment and supplier compliance listed as add-ons. Qualio is an annual subscription counted in edit users: five in Foundation and ten in Growth, with basic users uncapped, an implementation fee that applies to every plan, and fees for additional edit users, further frameworks and multiple instances. Neither record shows a subscription amount. One plant therefore prices against facilities in one case and against writers and approvers in the other, and growth in sites or in editors moves the two quotes in different ways.

When each is the safer first demo

    Start with SafetyChain when

Start with SafetyChain when the first failing process is on the line: a measurement outside its limit has to place a lot on hold, start a corrective action and leave a trail that a second reviewer can read, possibly on a tablet with a poor connection. The record documents offline mode but not its limits, so make the disconnect, restart and reconnect part of the first session, with attachments, rather than a later check. Ask early which supplier, production-monitoring and machine-data items are in the quote.

    Start with Qualio when

Start with Qualio when the first failing process is the controlled document and what follows from it: a procedure changes, the people affected must be retrained, and a supplier problem needs an investigation with an effectiveness check. Run the revision through approval, then confirm which edit-user count and which compliance frameworks the quote assumes. If design controls could matter later, ask now whether they are enabled in the plan, because the record says they are enabled on request and should be tested in a sandbox.

    A two-week evaluation plan

    Ask SafetyChain

    • Which packages and add-ons are listed for each facility in the quote, and what is the one-time setup fee based on?
    • Which devices and operating systems does the offline mode support, and what happens to attachments, duplicates and conflicting edits on reconnection?
    • Which ERP, MES or machine connections are priced, and who owns the field mapping and failure handling?

    Ask Qualio

    • Which tier is assumed, and how many edit users, event templates, frameworks and integrations come with it?
    • Which documents in the validation support pack are current, and what do we still write ourselves, such as a validation plan, a configuration record and a summary report?
    • Is the design-controls module enabled in our plan, and how are extra users, frameworks and instances charged?

Week 1, with synthetic data in both: for SafetyChain, load a line checklist on a tablet, disconnect, record a failed measurement with a photo attached, close and reopen the app, reconnect, then check timestamps, duplicates and the supervisor task. For Qualio, revise an approved procedure, send the first approval back, approve the second draft and look at the training that follows. In both, export the evidence and let a second person reconstruct what happened without help.

Week 2 tests the second record type. In SafetyChain, take the failed measurement through a product hold, a 5 Why or fishbone analysis, a rejected closure and a traced lot, then add an expired supplier document. In Qualio, run a supplier nonconformance through investigation, then fail its effectiveness check, and export the approved-supplier list. Finish by checking each quote line against the sessions, particularly add-ons and services.

    Worked evaluation scenarios

These scenarios are hypothetical. They show how to turn the record facts into a demo test and what outcome would change a choice; they are not case studies or customer results.

Hypothetical: a manufacturer with a food line and a separate regulated line

A manufacturer runs a food line and, in a separate suite, a line of a product that falls under life-science rules. Operators record line checks on tablets in a hall with weak reception, and a quality unit maintains controlled procedures and trains staff on them. The SafetyChain record documents an offline mode without specifying synchronisation limits, plus in-process measurements and product holds. The Qualio record documents controlled documents, role-based training and quality events, and says offline editing, training and event synchronisation were not established. Run both halves in each demo: a failed line measurement taken with the connection off, and a revised procedure with its retraining. Where a product cannot cover one half, ask how that half would be handled and cost the answer.

Hypothetical: an auditor asks for records by lot and by date

A customer auditor asks a plant for every record linked to one lot, and separately asks the quality manager who approved a procedure on a given date and who was trained on it. The SafetyChain record describes time-stamped sign-offs, lot traceability, permission-based auditor profiles and complete CAPA edit and approval history. The Qualio record describes version history, training completion reporting, a platform audit trail whose entries the interface lets no one alter or delete, and exportable logs. Test each as the auditor would: ask someone who did not build the data to retrieve the answer, using a restricted profile where the product offers one. Count the steps and note what needed an export. If retrieval needs the builder's help, audit readiness has not been demonstrated.

Hypothetical: pricing one plant now and three plants in two years

A producer has one facility, thirty people who write or approve records and about two hundred who only read or complete tasks. The SafetyChain record describes a monthly subscription per facility with no charge by user and a one-time setup fee, with no amount shown. The Qualio record describes five edit users in Foundation, ten in Growth, basic users without a cap, one implementation fee applying to every plan and extra fees for further users, frameworks and instances. Ask each vendor to price three cases on one sheet: today's plant, a second and third facility, and a doubling of the people who write or approve. Compare line items before totals. A quote that places a read-only person in a paid category would change the comparison more than any feature.

What the records do not establish

    SafetyChain

    • A subscription amount, currency or self-service free trial.
    • How synchronisation behaves at the edges on a given deployment: attachment size, a restart in the middle of a task, duplicate records.
    • Occupational incident management, permit to work or environmental reporting; the record says not to infer them from the product name.
    • Electronic-signature controls under 21 CFR Part 11 or a vendor validation package: the record does not describe them, so ask.

    Qualio

    • A subscription amount or a self-service free trial.
    • Offline editing, training completion or event synchronisation; the reviewed pages do not establish them.
    • Plant-floor data capture, in-process measurement or food-safety programme handling, which the record does not describe.
    • Which design-controls, integration and framework allowances your quote includes.

    Neither product

    • Relative cost, implementation time or user satisfaction; neither record includes a customer-review sample.
    • That either product satisfies a particular regulator, customer scheme or certification body: both records place conformity with the buyer's own programme and configuration.
