    Where the two scopes differ

Both records cover controlled documents, training, quality events with corrective actions, supplier records and audits for life-science teams, so a module list alone will not separate them. The difference is the starting point. Dot Compliance is described as a pre-built eQMS delivered in a configuration it has already validated, running natively on Salesforce, with eleven process applications that include complaints, equipment and electronic batch records beside the core QMS, plus a layer of AI agents. Qualio is described as a configurable platform bought in Foundation, Growth or Scale tiers, in which documents and training are joined, on the product side, by design controls, parts, bills of materials, software-development evidence and a developer API.

Validation is described from different angles. The Dot Compliance record says each customer receives a full validation documentation package with the subscription, covering the vendor's delivered configuration, and that changes the customer makes need their own assessment. Qualio's validation overview classes the product as a configurable system under GAMP 5 and describes validation as a partnership: the support pack holds a test plan, a requirements trace matrix and video evidence of automated tests, and the customer qualifies Qualio as a supplier, records the configuration of its instance where suppliers or design controls are used, and writes a summary report. Both records say vendor evidence feeds your validation file and does not replace it. Dot Compliance describes electronic signatures with multi-factor authentication, signature meaning and a time-stamped trail linking each signature to its record; the Qualio record describes a platform audit trail with entries that no user, administrators included, can alter through the interface.

The commercial and access evidence also differs. Dot Compliance publishes no subscription amount and no pricing page, and offers a free trial only after pre-qualification; its quote should separate applications, users, AI agents and services. Qualio's pricing page counts edit users, five in Foundation and ten in Growth, with basic users uncapped, one implementation fee across all plans and fees for extra users, frameworks and instances; no amount is shown and a self-service trial was not established. On connections, Dot Compliance runs on Salesforce and describes its batch-record integrations in general terms, while Qualio's pricing page lists SSO, OneDrive and Jira as core integrations, a wider catalogue behind the Integration Hub add-on, and the Developer API under Growth.

When each is the safer first demo

    Start with Dot Compliance when

Start with Dot Compliance when the team wants to run delivered processes with little design work and the first hard question is whether your own procedures fit them. Walk the change-control and complaint procedures through the delivered workflows and list each gap before comparing anything else, then ask who assesses each Salesforce or vendor release against your validated state. It also suits an opening where complaint intake and, if quoted, electronic batch records matter more than product development.

    Start with Qualio when

Open with Qualio when the quality system is about to share records with product development, or when you want the tier allowances in front of you: edit users, event templates, frameworks and integrations. First change a procedure and see its training, then fail the effectiveness check on a supplier nonconformance. If design controls matter, ask whether the quoted plan has them switched on and try them in a sandbox before production, as the record advises.

    A two-week evaluation plan

    Ask Dot Compliance

    • Which Salesforce organisation and edition applies, and who administers platform releases and supplies regression evidence?
    • What does the validation package contain, how is it refreshed, and which edits to a delivered workflow fall outside it?
    • What does the pre-qualification step involve, and which applications will a trial environment hold?

    Ask Qualio

    • Which tier is quoted, and what are its edit-user count, template and framework allowances, integrations and implementation fee?
    • Which support-pack documents are current, and who approves intended-use risk and configuration after each release?
    • Is design controls enabled in our plan, and how are extra users, frameworks, instances and connectors priced?

Week 1, same task in both: take an approved procedure, give a revision a set effective date, send the first approval back unfinished, sign the second draft electronically and check which retraining follows. Pull up the superseded version and export the decision record. Ask each vendor to cut the connection mid-task; neither record documents offline editing, training or approval, so any claim should be shown rather than assumed.

Week 2 follows each product's own reach. For Dot Compliance, log a distributor complaint, let the risk rules route it, promote it to a CAPA and open the audit trail; then change one workflow step and ask what the validation package says about it. For Qualio, run a supplier nonconformance through investigation and a failing effectiveness check, plan an internal audit whose finding turns into a corrective action and, if quoted, alter a design input in the sandbox. Finish by reading each quote line against what the sessions needed.

    Worked evaluation scenarios

These scenarios are hypothetical. They show how to turn the record facts into a demo test and what outcome would change a choice; they are not case studies or customer results.

Hypothetical: a delivered workflow that does not match the company's SOP

A biotech's change-control SOP has an extra approval step for equipment changes that the vendor's delivered workflow does not contain. The Dot Compliance record says changes made to the delivered configuration need the customer's own assessment, and asks for procedures to be mapped against the delivered workflows before contract. The Qualio record describes configurable quality events and a validation partnership in which the customer documents the configuration of its instance where suppliers or design controls are used. In each demo, ask for the extra step to be added, then ask which validation documents cover the changed workflow and what you would execute yourself. If the answer is open-ended effort, or the added step falls outside the vendor's evidence, include that work in the comparison.

Hypothetical: complaints already live in Salesforce

A company already logs customer complaints in a Salesforce organisation and wants them to reach the quality system without retyping. The Dot Compliance record says its eQMS is built natively on Salesforce, that existing Salesforce licences are not required, and describes complaint intake routed by risk level into a CAPA. The Qualio pricing page lists Salesforce in the full integration catalogue that comes with Growth through the Integration Hub add-on, beside SSO, OneDrive and Jira as core integrations. Ask each vendor to show a complaint created in the existing organisation arriving as a quality record with its fields, and who maintains the mapping after a release. If the route needs an add-on or a customer-built interface, price it before comparing.

Hypothetical: a lean quality team that wants hands-on time before a quote

A three-person quality team wants hands-on time with each product before it requests a quote. The Dot Compliance record describes a free trial offered after the vendor pre-qualifies the requester, with a separate demonstration request. The Qualio record describes a demonstration request and does not establish a self-service free trial. Ask each vendor in writing what you would be given: which applications, which users, for how long, with whose data, and whether configuration carries into the paid system. Use the environment for the same revision-to-training task in both. If it shows only part of the product, or cannot hold your own sample procedure, record the result as a demonstration.

What the records do not establish

    Dot Compliance

    • A subscription amount.
    • Offline use; the record describes browser access through Salesforce only.
    • A delivered MES, LIMS or ERP interface with named systems.
    • Which applications the free trial enables once the requester has been pre-qualified.

    Qualio

    • A subscription amount or a self-service free trial.
    • Offline editing, training completion or event synchronisation.
    • Whether design controls are enabled in the plan you would be quoted.
    • Which connectors a tier includes beyond the core list; allowances differ between Foundation and Growth.

    Neither product

    • That either validation package covers your configuration: both records leave the assessment of intended use with the customer.
    • Implementation effort, total cost and user satisfaction are all open; no customer-review sample stands behind either record.
    • That the certifications each vendor names are current: they are vendor statements and no certificate was reviewed.

Written from the profile records and the decision guide above, not from a hands-on test. Where a record is silent, the page says so instead of filling the gap.
