Already using Effivity? What its record leaves open

    Limitations the Effivity profile records:

    • Calculator amounts require currency and configuration confirmation
    • Form builder and additional systems change the commercial scope
    • Offline mobile use is not described on the reviewed pages

Available only under stated conditions or not documented (checked 2 October 2026): Mobile app and offline use; Configurable forms and integration scope. Check each against the contract you hold.

Effivity evaluation checks, for every candidate

    • Functional depth: Trace a real audit finding through disposition, action and verified closure. Source
    • Usability & adoption: Observe field users completing and submitting a mobile form on a weak or interrupted connection. Source
    • Implementation & TCO: Compare the same module and capacity configuration over the first and renewal years. Source
    • Integrations & API: Request interface specifications, entitlements and ownership for the systems you must connect. Source
    • Security & trust: Test document permissions and request current deployment-specific security evidence. Source

Leaving Effivity: what to plan for

    • The calculator showed dollar amounts with no currency code and annual billing, built from separate pieces for modules, users, form builder, storage and email allowance. When you move, rebuild the quote on the same pieces so first-year and renewal figures line up, and remember that the base quality configuration is not a price for every management system.
    • Controlled documents carry revision numbers, approval routes and archived superseded versions. Moving them means deciding whether the new tool inherits the old numbering, whether archived versions stay retrievable for audit, and who signs off the migrated set as the current approved copy. A rejected revision with its linked training or action is a specific case to check survived the move.
    • Nonconformities, complaints, supplier approvals and calibration schedules are described as separate record types, so a migration inventory should count them separately. Closed items are history. Open ones need an owner, a due date and the effectiveness review step recreated, since the record asks who verifies effectiveness before closure and whether that evidence exports.

Who may have reason to stay with Effivity

    • Teams already inside the document, audit and corrective-action flow have a connected chain: audit findings lead to nonconformities and linked actions, and management reviews retain inputs from purchased modules. If cost alone drives the review, compare the full configured quote against the administration time the shared records remove, which is the record's own test of whether this product repays its price.
    • A switch will not change certification status. The record states that references to ISO standards are not product certification and that neither a trial nor a purchase certifies an organisation. If a finding at your last audit prompted the review, the cause may lie in process, ownership or evidence as much as in software.
    • If the reason to leave is mobile offline use, note that the reviewed pages do not describe it for this product, and the iOS release notes mention only record codes, workflow screens, file handling and language switching. That is a gap in description rather than proof of absence, so test it, and expect any replacement to need the same test instead of assuming it solves the problem.

What to test in a trial of a replacement for Effivity

    • Use a real audit finding: schedule the audit, record a nonconformity and its disposition, reject a weak correction and watch who is notified, then have a different person verify effectiveness and export the linked evidence. Repeat it on the candidate and count how many steps need manual copying between screens.
    • Open the mobile screen field users will use, on a weak connection, record a finding, close the app mid-submission and reopen it. Check that the record and attachment arrived intact, then revise the controlled document online and see which version the field user gets next. The record asks whether an interrupted submission can be recovered.
    • If supplier or calibration control matters, test the exception path: reject a delivery, link it to a supplier corrective action, mark an instrument out of tolerance and review what it measured since its last calibration. Trial entry is advertised without a card, with product pages mentioning 15 days, so confirm the account scope before loading data.
