    What to test before shortlisting

Use these capa management tasks for your Manufacturing evaluation. Adapt them to your operations; these are demo requests, not observed vendor results.

    Bring a real workflow

Link a finding to a cause, assign an action and reject closure when the effectiveness check fails.

Evidence to retain: Preserve the original finding, reopening history and independent verification rather than just a completed checkbox.

    Add your operating context

Use three plants sharing a central template, with one local variation and a handover between shifts.

Before proceeding: Check whether a plant can adapt its workflow without changing another plant's records or losing group reporting.

Record demonstrated, partial, unmet and untested requirements separately. Leave a candidate pending if an essential requirement remains untested.

Corrective and preventive action in manufacturing: closure the regulators will test

In manufacturing, CAPA is where quality, safety and regulatory obligations meet. A defect, a customer complaint, a failed audit and an injury all start the same way: contain, find the cause, act, and prove the action worked. Regulated manufacturers carry extra obligations: a medical device maker's quality system must now meet ISO 13485 as incorporated into US federal rules, and food manufacturers must follow written corrective-action procedures. A CAPA tool that allows closure without evidence of effectiveness will not survive either audit.

The recurring design question is where a CAPA starts. If it can be raised from inspection data, supplier findings, nonconformances and incidents, the cause analysis sees the whole picture. If each source has its own tool, agree how they hand over.

A plant that runs both a quality and an EHS system can end up with two CAPA lists. If that is your situation, decide which system owns the action and which only links to it, and test the link in both directions during the demo.

    Rules that shape this evaluation

Summarised from the linked official texts, read on 25 September 2026. This is buyer context, not legal advice: have the responsible specialists confirm which requirements apply to your sites.

How the operating context changes the buying criteria

Volume decides what a CAPA tool must do well. A plant with several lines can generate more nonconformances than anyone can investigate, so the first criterion is triage: which events remain a simple correction and which become a CAPA, and who decides. Look for a clear separation between containment (hold, quarantine, rework, stop-ship) and corrective action, because they have different owners and clocks: containment is measured in hours, root cause in weeks, and the effectiveness check months later. A tool with a single due date for the whole record loses the last stage.

The second criterion is memory. Repeated failures show only if the tool can search earlier records by part, supplier, line or cause code while the new one is being written. Customers in some sectors, automotive for example, expect an 8D-style report, so ask whether the tool exports the format your customers use without retyping. Where electronic signatures are used for a regulated product line, check how the approval chain and the signature record are held. Finally, safety CAPAs from incidents and quality CAPAs from audits usually have different closers, and one workflow template for both tends to suit neither.

Questions to settle for this combination

    1. Can a CAPA be raised from an inspection result, a supplier finding, a nonconformance and an incident, and keep a link to its source?
    2. Can the tool refuse closure when the effectiveness check fails, and keep the reopening history?
    3. For a regulated product line, can the CAPA record meet your device or food quality system requirements without a separate system?
    4. Can a supplier respond to its own corrective-action request without seeing other suppliers' records?
    5. Can one plant adapt its CAPA workflow without changing another plant's records or losing group reporting?

    Further questions for each vendor

    • Does the tool separate containment actions from corrective actions, with different owners and due dates?
    • Which root-cause methods are built in (five whys, fishbone, 8D), and can a customer-facing report be exported without retyping?
    • Can the tool show earlier CAPAs with the same part, supplier or cause code while a new one is being written?
    • How is the effectiveness check scheduled weeks or months after the action closes, and what escalates when nobody carries it out?
    • Can a CAPA reference the affected lots or serial numbers in your ERP or MES, and does the link carry a reference or the full data?
    • What electronic signature and approval-chain controls exist for a regulated line, and are they in the quoted plan or an add-on?

What an inspector or auditor typically asks to see

    • The CAPA procedure and proof that it is applied: the sources, the threshold for opening a CAPA and how trend data feeds it.
    • For a sampled CAPA, the problem description, containment, investigation of cause, action, and verification that the action worked and, where required, did not create a new problem.
    • Evidence that management reviewed CAPA status and trends, including ageing of open items.
    • Links between the CAPA and the nonconforming product, complaints and supplier controls it concerns.
    • For a food or device plant, proof that the corrective action covered the affected product and that the records were reviewed in time.

Which documented capabilities matter most here

Offline use is the weakest signal in this combination, because CAPA work is done at a desk or a line terminal. Weight the category line and documentation depth instead. Where CAPA is the product's primary category it is built around the closure loop; where a product matches through a tag or a documented capability, CAPA may be one module of a wider quality suite. That is not a defect, but the demo has to show the whole loop, from trigger to effectiveness check, in that module and not only in the brochure.

Signals in the researched records of the listed products:

    • Matched through a sourced tag or a documented capability rather than the primary category: EHS Insight, Effivity, Synergi Life (DNV), 1factory, Cority, Enablon, HSI Donesafe, myosh, Quentic, Accupoint, AssurX, MasterControl and Qualityze.
    • Offline use, as classified in the records: a documented offline workflow: EHS Insight, Cority, Enablon, HSI Donesafe and Quentic; a partial offline workflow: Synergi Life (DNV), myosh, Accupoint and Qualityze. No classification yet for 4 of the 13.
    • A published price amount is on record for EHS Insight, Effivity, Synergi Life (DNV), 1factory and myosh; the other 8 need a quote.
    • A free trial is documented for EHS Insight, Effivity and Synergi Life (DNV).

Vendor-material signals, not test results; the commercial partner is not counted; no signal means not established.

A demo script for this combination

Ask each vendor to run these steps with synthetic data. They are demo requests, not observed vendor results.

    1. Raise a CAPA from a synthetic out-of-specification measurement and link it to the part and line.
    2. Record a root cause and an action, then fail the effectiveness check and confirm the CAPA reopens.
    3. Invite a supplier to answer a linked corrective-action request and confirm it cannot see other suppliers.
    4. Report open CAPAs by plant without one plant's local fields changing another's records.

    Quality Management

What the evidence covers hereVendor's own material, not a test · 2 sources, checked 14 Oct 2026

MasterControl documents CAPA routing with notification, escalation and approval from initiation through closure, and a separate SCAR workflow for suppliers. Effectiveness criteria remain a requirement you define and test in the demo. Vendor source, source 2, profile checked 14 October 2026.

    Qualityze

    Quality Management

What the evidence covers hereVendor's own material, not a test · 1 source, checked 12 Oct 2026

Qualityze documents investigation, action assignment and verification of effectiveness before closure. That matches the closure rule regulated manufacturers are audited against; a vendor validation package does not certify your own implementation. Vendor source, profile checked 12 October 2026.

    How this shortlist is assembled

Products match the catalog's category and industry tags and are ordered by how closely our sources document each product for the category: primary category first, then a sourced tag or documented capability, then how complete the researched profile is and whether it documents a price, a free trial and offline use, then name. Stars appear only where we hold review data for the product and never affect the order. Position in the list is not an assessment of fit or quality.

A catalog tag does not establish a verified deployment or suitability for your workflow. Product profiles identify available vendor sources and review dates. This page does not report customer interviews or hands-on comparative testing. A labelled sponsored placement is additional to the list. The commercial partner also appears organically when it meets the same inclusion rule, with the same ordering and styling as every entry; see how lists are ordered.

Each card's evidence row comes from the sources recorded in the product's profile. "Documents" means the vendor's own material describes the capability; it is not a test result or an assessment of fit.

Read the editorial methodology, compare quote scope, or use the demo scorecard to record your own evidence.

    Frequently Asked Questions

How should Manufacturing buyers choose capa management software?
Use three plants sharing a central template, with one local variation and a handover between shifts. Check whether a plant can adapt its workflow without changing another plant's records or losing group reporting. Use these tasks to assess the candidates below; catalog order does not establish the best fit for your organisation.
What is included in the price?
Request the same scope from each vendor: applications, users and external participants, sites, implementation, migration, integrations, training and support. Record recurring charges, minimum commitments and renewal terms. Use the linked product profiles for sourced pricing conditions and the worked quote example to compare totals.
    What determines the implementation schedule?
Identify who prepares the data, configures workflows, approves access and tests integrations. Ask for milestones and acceptance criteria tied to those dependencies. Company size alone does not establish a delivery date; agree any pilot's access, duration and cost separately.
How are the platforms selected and ordered?
The list matches the catalog's category and industry tags and is ordered by how closely our sources document each product for the category, then by name; ratings, reviews and payments play no part. It is a discovery list, not a ranking or a scored comparative trial. Open each profile to inspect its sources and research coverage.
What evidence should security and IT reviewers request?
Have the responsible reviewers specify access controls, identity integration, hosting, retention, export and assurance requirements for the intended records. Ask for current documentation with scope and exceptions, and test your required roles. A catalog tag or certification logo does not prove the proposed configuration is suitable.
