    Scilife

Scilife connects controlled documents, training and quality workflows. Buyers can assess document revision, CAPA follow-up and permissions using public product and support documentation. Product packaging matters when extending document control into audit or supplier processes.

    Evidence: Researched profile

Built from vendor sources checked ; AI-assisted drafting. Documentation review, not a hands-on test. How pages are made

    Who is Scilife for?

Life-science teams connecting document revisions with employee training and corrective actions. Essential, Core and Core+ have materially different module scope. 'Offline users' are employees without accounts, not offline application access. Supplier validation evidence supports but does not replace customer intended-use validation, and API, medical-device design controls and Printing & Reconciliation require explicit entitlement.

Worth evaluating when linked training and document changes would remove manual reconciliation. Compare the selected modules and ongoing administration with the cost of your present process before committing.

Watch for: Numeric subscription prices are not public. Offline users does not mean an offline application. Audit, supplier, risk and equipment workflows require Core+.

    Capabilities and scope

Scilife sells a tiered Smart QMS for life sciences, a separately positioned eQMS for medical devices, and a separate Printing & Reconciliation product.

Scilife capabilities, evidence status and source links
    CapabilityEvidenceScope and source
Controlled documents and approvalsDocumented by vendor

Manage document types, templates, version history, periodic review, group access, electronic approval roles and Microsoft Office editing. Validate the configured author/reviewer/approver/QA separation against internal procedures.

Document controlPlans, product boundaries and commercial terms
    Training and retrainingDocumented by vendor

Assign role-based or individual training plans, documents, tasks, links and assessments; track progress and trigger retraining when controlled documents change. Essential is the lowest named paid tier containing Training Management.

Training managementPlans, product boundaries and commercial terms
Training records for employees without accountsDepends on scope

Supervisors can record completion and evidence for employees designated as offline users. Here 'offline user' means a person without platform login access; it is not evidence that the Scilife application works without network connectivity.

    Offline-user definitionTraining management
Competence and CV managementDocumented by vendor

Maintain competence categories and levels, employee CV data and supporting evidence, with manual updates or updates linked to completed training. Competences are listed in Essential; confirm governance of employee-entered records.

Competency managementPlans, product boundaries and commercial terms
Quality events and investigationsDocumented by vendor

Configure deviations, nonconformities and complaints with custom fields, evidence, investigation, root-cause and impact assessment, responsible-party tags and QA sign-off. Closed events cannot be reopened; a new linked event is the documented path.

Quality eventsPlans, product boundaries and commercial terms
CAPA lifecycle and effectiveness checksDocumented by vendor

Define CAPA plans, approval signatures, implementation evidence, QA closure and optional effectiveness checks linked to events or change requests. The CAPA FAQ says plan and action fields are free text and individually assigned tasks need a linked Change Control request, while the page intro mentions assignable actions; confirm in a demo.

    Change controlDocumented by vendor

Document change rationale, risk and impact, cost and assigned tasks; route approval, implementation proof and QA closure; link CAPAs and document updates. Change requests cannot be reopened after closure, and task-level QA sign-off is configurable.

Audits, findings and supplier qualificationDepends on scope

Plan incoming, outgoing and internal audits, manage findings directly or through Events/CAPA, and run a supplier-qualification workflow that can trigger an audit. Audits and Supplier Management are listed in Core+, not Core or Essential.

Audit and supplier qualification workflowsPlans, product boundaries and commercial terms
    Quality risk assessmentsDepends on scope

Create risk assessments, use manual or question-based scoring, route mitigation/review/approval, schedule periodic reviews and link risks to events, CAPAs or audits. Risk Assessment is listed in Core+.

Risk assessmentsPlans, product boundaries and commercial terms
Equipment qualification, maintenance and calibrationDepends on scope

Register equipment by type and location, schedule recurring maintenance/calibration with owners and notifications, attach evidence and link equipment events. Equipment is listed in Core+; confirm whether qualification protocols and external calibration interfaces are included.

Equipment managementPlans, product boundaries and commercial terms
Permissions, signatures and auditabilityDocumented by vendor

Roles, groups and module permissions govern access; the pricing comparison lists MFA, IP controls, electronic signatures, audit trail and system log. Read-only users retain limited actions such as assigned training, so test least-privilege roles rather than relying on the label.

User permissionsPlans, product boundaries and commercial terms
API, SSO, provisioning and BI accessDepends on scope

Scilife describes a token-based REST API for selected records, Microsoft Entra ID SSO and SCIM provisioning, plus secure read-only database access for BI tools. Confirm plan entitlement, exact endpoints/entities, write restrictions, rate limits, support and database-access controls.

Essential, Core and Core+ plans by quote

No amount appeared on the pricing page on 2 October 2026: Essential, Core and Core+ each carry a "Get pricing" button beside a free trial column. Essential covers documents, training, competences, records and KPIs; Core adds CAPAs, change control and quality events; Core+ adds audits, supplier management, risk assessment and equipment. The medical-device eQMS and Printing and Reconciliation appear on the same page, also without amounts. Request user mix, storage, integrations, implementation and renewal terms in a named currency.

Pricing sources checked : Selected sources checked; no starting price recorded. The vendor publishes plan boundaries and advertises a free trial covering Essential and Core.

Which product scope should the quote cover?

Essential includes documents, records, training, competences and KPIs; Core adds quality events, CAPA and change control; Core+ adds audits, supplier management, risk assessments and equipment. Medical-device design controls, Printing & Reconciliation, integrations, validation responsibilities and implementation services require explicit proposal-level scope.

Ask the vendor to identify the product, region, modules, billing unit, contract term and included services in writing.

    Offline application use unverified

No disconnected capture or synchronization workflow was verified. Scilife defines offline users as employees who cannot log in; supervisors record their training and attach evidence. This is not proof that the application works without connectivity.

    Demo script

Demo: SOP revision to verified retraining

    1. Revise an SOP through author, reviewer, approver and QA roles, including one rejected revision.
    2. Release the approved version and trigger retraining for a logged-in user and an employee without a platform account.
    3. Show distinct completion evidence, assessment results, electronic signatures, permissions and the audit export.

    Demo: deviation to effective CAPA

    1. Register a deviation with evidence, investigate root cause and impact, and route event sign-off.
    2. Create a CAPA, then use a linked change request for individually assigned implementation tasks and a document update.
    3. Complete the effectiveness check and retrieve the linked event, CAPA, change, document and training history without reopening closed records.

Demo: supplier qualification and audit finding

    1. Qualify a sample supplier and use the result to schedule an outgoing audit.
    2. Record a finding with owner, due date and mandatory proof, then escalate it into an Event or CAPA.
    3. Close the finding only after remediation and show supplier status, overdue reporting and traceability across the linked modules.

Ask the vendor to show you

    1. Which Essential, Core or Core+ modules and user roles are included?
    2. What trial duration and data-removal terms apply?
    3. Which API entities, write operations, rate limits, SSO, SCIM and BI access are included?
    4. How is supplier validation evidence mapped to our configured intended use?
    5. Are medical-device design controls or Printing & Reconciliation separately licensed?
    6. How are granular CAPA tasks routed through Change Control?

    Questions the sources answer

Does Scilife validation replace our own assessment?

No. Scilife provides supplier validation documentation and release information that can support customer work. The buyer still needs to assess suitability and validate the configured system for its intended use.
