    Where the two scopes differ

Both records cover field forms that can be configured, captured offline and dispatched, with a route into office systems, and they price on different units. TrueContext's pricing page, as the record reads it, shows a Digital tier starting at 400 a month, billed annually and covering the entire team, with Intelligent and Elite quoted; the amount carries a dollar sign but no currency code. FastField's page shows Core at 24 and Pro at 36 per seat a month in the annual view, a quoted Enterprise tier and external forms as an add-on, likewise with a dollar sign and no currency code.

The interface to other systems sits in different places. In the TrueContext record, REST API access belongs to Intelligent and Elite and is limited to server-to-server calls; the record also notes that the pricing FAQ says every tier includes it, against the plan matrix and the API documentation. The documentation page on approvals lists approvals for the same two tiers. The FastField record lists premium connections and API access among Pro's additions on the plan card (its comparison grid also ticks API services for every plan), offers Quickbase linking by single sign-on or user token, and notes that a Direct Post to a private endpoint cannot feed downstream custom workflows.

The offline records stress different failure points. For TrueContext, a finished form waits in the device outbox until a reconcile succeeds with the app on screen and a network connection, and the documentation separates the date sent on the device from the date received by the server; the pricing page says every feature works without a connection, so test delivery against the reconcile documentation. For FastField, submitted forms wait in a Sync folder, unsent drafts remain with the user and app that started them, and the forced offline setting suppresses synchronisation until it is switched off.

Dispatch and review have similar shapes with different edges. TrueContext dispatches prefilled work from the portal, a CSV file, the API or a destination, and its approval route lets a reviewer pick up a record, approve it or ask for changes. FastField dispatches to a user, a group or an external party with prefilled values, though its help article says a user group receives no notification, and it routes review through custom statuses and a global workflow.

When each is the safer first demo

    Start with TrueContext when

Start with TrueContext if every inspection must reach a named business system and the team can look after the forms, the mappings and any failed deliveries. Ask which tier is assumed in the quote, since API access, approval and group dispatch are listed for the higher tiers, and request a trial in writing because the record shows a request-only route.

Start with FastField by Quickbase when

Start with FastField when the budget is set per seat, when Quickbase already holds the office record, or when lookup lists for equipment and customers must fill the form. Begin with a queued submission, then a draft handed to a colleague, then a rejected form returning to its originator, and ask for the trial length the record could not establish.

    A two-week evaluation plan

    Ask TrueContext

    • Which tier does the quote rely on for group dispatch, approvals and REST API access, and how does the FAQ's all-tiers wording about the API apply to our contract?
    • Who maintains forms, data-destination mappings, failed deliveries and version changes after go-live, and is any of that work in the quote?

    Ask FastField by Quickbase

    • Which functions need Pro or an add-on, and what are the currency, minimum seats, contract term and trial length?
    • Which Quickbase connection model is assumed, who owns it, and how are task notifications delivered when work goes to a user group?

Week 1, the disconnected submission. Reconcile or sync, go offline, complete the same equipment check including a photo and a signature, then reconnect. In TrueContext, keep the app on screen, compare the device-sent and server-received timestamps, and check that the record arrived at its destination before the outbox entry is cleared. In FastField, read the Sync folder, start a draft and try to continue it on a second device, then confirm the server record.

Week 2, dispatch, review and system handoff. Dispatch a prefilled job to a named person in each product, and in FastField to a group as well, noting who is notified. Reject one submission and follow it back to the originator: approver claim and requested change in TrueContext, custom status and global workflow in FastField. Send one completed record to the receiving system, amend a field afterwards, and check for repeats and for what happens after an interrupted transfer.

    Worked evaluation scenarios

These scenarios are hypothetical. They show how to turn the record facts into a demo test and what outcome would change a choice; they are not case studies or customer results.

Hypothetical: completed service forms that must open a billing line

A service contractor wants each completed maintenance form to open a billing line in an office system. The TrueContext record lists REST API access under Intelligent and Elite, for server-to-server use, while its pricing FAQ says otherwise. The FastField record links Quickbase by single sign-on or user token, lists API access under Pro on its plan card and warns that data sent by Direct Post cannot feed downstream custom workflows. Send ten test forms through the planned route, correct one after submission, interrupt the receiver for another, and count duplicates and gaps at the end. If the route you need sits above the tier you can fund, or retries create duplicate billing lines, settle the integration design before comparing form features.

Hypothetical: a pool of ten technicians sharing a daily job list

A dispatcher sends the day's prefilled jobs to a pool of ten technicians, and each person should be alerted. The TrueContext record describes dispatch with prefilled context through the portal, a CSV file, the API or a destination, with group options tied to tier and a follow-up dispatch creating a separate record. The FastField record describes dispatch to a user, a group or an external party, and its help article says no notification is sent to a user group. Dispatch one job to a group in each product, on a phone and a tablet, and note who sees it, when they are alerted and how it is claimed. If the group route is silent or sits above the quoted tier, assign named people or add a manual alert.

Hypothetical: a reviewer who returns a record with a requested change

A quality lead wants some submitted inspections returned to the field worker with a request, then checked again. The TrueContext documentation describes approvers who claim a record and approve it or request changes; a resubmitted record returns to pending approval, and the feature is listed for Intelligent and Elite. The FastField record describes custom statuses and a global workflow that sends a form to reviewers, with approved, rejected or on-hold as outcomes, and asks for return paths to be tested. Run one rejected record through each product with synthetic data and read the originator's view, notes, history and final status. If the return step needs a tier you have not priced, or the originator is not told, redesign the review before judging the form tools.

What the records do not establish

    TrueContext

    • Currency code, team limits, set-up costs and renewal terms for the Digital amount.
    • Whether every tier includes the REST API: the FAQ says yes, while the plan matrix and API documentation list it for Intelligent and Elite.
    • A general-purpose trial: a 14-day period appears only for the Salesforce AppExchange package in the reviewed pages, and the record shows a request-only route.

    FastField by Quickbase

    • The currency of the list amounts, minimum seats, contract term and trial duration.
    • Disconnected use of external web forms or of server-side integrations.
    • Hand-over of an unfinished draft between devices or users, which the help article says is not supported.
    • Notification delivery to user groups, or a ready-made corrective-action process.

    Neither product

    • Relative usability, rollout time or total cost: only vendor documentation was reviewed for either tool, with no hands-on test.
    • Any verified review score for either tool.

Written from the profile records and the decision guide above, not from a hands-on test. Where a record is silent, the page says so instead of filling the gap.
