    Where the two scopes differ

On paper these are the nearest pair in the set: two per-seat mobile-forms products with tiered packages, offline entry, document-style reports and API access from the Pro tier. The records separate them on three practical points. The first is the commercial floor. GoCanvas is described with Essentials, Pro and Max at dollar amounts per user per month, annual billing and a three-user minimum, so the smallest published purchase is three seats on a yearly term. FastField's record lists Core and Pro per seat with an Enterprise quote and states that minimum seats, contract term, trial length and currency code were not established. A single occasional inspector is therefore more exposed to the GoCanvas minimum, while a budgeting team has more to ask FastField.

The second is how offline use can fail. GoCanvas's record documents a credential validation window, 24 hours by default and adjustable through a client timeout setting, so a long disconnected shift depends on a security setting as well as on prepared forms. Its sync also receives form updates, reference data and dispatch or workflow assignments, so a device that has not synced may hold a stale version. FastField's record instead stresses the Sync folder, draft ownership and a forced offline mode. Neither record establishes that a handoff to another user works offline.

The third is review. GoCanvas's record puts multi-user workflows and the API in Pro, requires every recipient to be assigned to the published form, and says entries made by a rejecting user are deleted from the submission. FastField's record documents custom statuses with a global workflow that routes a submitted form to reviewers for approved, rejected or on-hold outcomes, and lists Direct Post to a private endpoint, which cannot then use downstream custom workflows. Both offer link-based collection for people without an account: GoCanvas through Public Forms, enabled by the account representative and unable to use reference data, and FastField through external forms that are sold as an add-on.

When each is the safer first demo

    Start with GoCanvas when

Start with GoCanvas when three or more people will use the product from the start and the first question is whether a prepared device can finish a shift. Ask who sets the credential timeout and what the inspector sees when it lapses. It is also the natural opening if dispatching prefilled jobs to a named user is the main pattern, since the record says the notification route depends on the assignee's last-used client.

Start with FastField by Quickbase when

Start with FastField when the team is small, when Quickbase already holds the office record, or when reference lists for equipment or customers must populate forms. Begin with a queued offline submission, then an unfinished draft handed to a colleague, then a rejected form returning to its originator. Ask which parts of the design need Pro, because premium connections and API access are placed there.

    A two-week evaluation plan

    Ask GoCanvas

    • Which tier licenses every step of our supervisor handoff, and does the quote assume the three-user annual minimum?
    • What is the agreed credential timeout for disconnected devices, and who may change it?
    • Confirm currency, taxes, onboarding and custom-integration charges, none of which the reviewed page resolves.

    Ask FastField by Quickbase

    • Which functions need Pro or an add-on, and what are the currency, minimum seats and trial length?
    • Which Quickbase connection method applies, and who runs it after go-live?
    • How are notifications sent for a task assigned to a user group, given that the record says they are not?

Week 1, offline behaviour on the same checklist with synthetic data. Sync the forms, disconnect, complete the form with a photo and a signature, reconnect and compare the office record and the exported report with what was entered. Then change one reference value or assignment while the test device is offline and see when it arrives. On GoCanvas, leave a prepared device disconnected beyond the intended shift to see the credential window. On FastField, hand a draft to another user. Both vendors advertise a trial, so agree which tier it maps to before treating a result as evidence.

Week 2, the people around the form. Dispatch a prefilled job to a field user on each product and record how the assignment arrives on their own device. Run a reviewer path with one approval and one rejection, and note what is kept and what is deleted when a handoff is rejected. If an office system is in scope, send one completed form to it, correct a field and check duplicates and failed-transfer recovery. Close by recalculating the quote for the seats, tier and add-ons your tests showed you need.

What the records do not establish

    GoCanvas

    • That the dollar amounts are the contract currency, or what the add-on and custom-integration services cost.
    • An offline handoff to another user.
    • Full mobile-form parity for externally collected submissions.
    • A verified aggregate review score.

    FastField by Quickbase

    • Currency, minimum seats, contract term and trial duration.
    • Disconnected use of browser forms or of server-side integrations.
    • A ready-made investigation or corrective-action process.
    • A guarantee of notification delivery to groups.

    Neither product

    • Relative usability, rollout time or total cost for your team.
    • Any hands-on result: both records are reviews of official documentation, and both commercial reviews are marked partial.

Written from the profile records and the decision guide above, not from a hands-on test. Where a record is silent, the page says so instead of filling the gap.
