    Where the two scopes differ

Each record covers configurable mobile forms that work offline, with dispatch and a path to office systems, while the commercial structures differ. GoCanvas shows Essentials, Pro and Max with a dollar sign on each per-user monthly rate, billed annually and with at least three users. TrueContext shows a Digital tier that the page presents as a monthly amount for the entire team on annual billing, with Intelligent and Elite on custom pricing. Both pages show a dollar sign without a currency code.

Where review sits in the product differs. In GoCanvas, the record lists a handoff from Pro: the submission goes to an assigned recipient who can be given the option to reject it, and the help article states that data the rejecting recipient entered is removed. TrueContext's documentation describes approvers who claim a record and then either approve it or send it back with requested changes, with resubmission returning it to pending approval, and lists that feature for Intelligent and Elite. For dispatch, GoCanvas sends a push notification only when the assignee last used a mobile app and an email otherwise, while the TrueContext record says follow-up dispatch creates a separate record.

The offline records describe separate checks. GoCanvas's help article gives a default 24-hour window for credential validation, adjustable through a client timeout setting, and a sync that both uploads and receives updates. TrueContext's documentation says a reconcile needs a connection and the app on screen, and leaves unsent forms in the outbox; it also separates refreshing a form on open from reconciling.

Integration and output differ in tier placement. The GoCanvas record lists API access from Pro, custom integrations and analytics as add-ons, and Public Forms for people without accounts as an item the account representative enables and the packages page places under Max. The TrueContext record places REST API access in Intelligent and Elite as a server-to-server interface and describes data destinations that route submissions to email or storage.

When each is the safer first demo

    Start with GoCanvas when

Start with GoCanvas when the team size is known and small, when the work is a form passed from one assigned person to the next, or when people outside the company need a link to submit a report. Ask which package licenses each step and who sets the credential timeout, and include a reviewer who rejects a submission, since the help article describes what rejection removes.

    Start with TrueContext when

Start with TrueContext when the inspection must end in a maintained connection to a service or business system and someone can own the forms, mappings and failed deliveries. Ask which tier the quote assumes, whether a trial is available, and how the pricing FAQ's all-tiers wording about the API applies to the contract.

    A two-week evaluation plan

    Ask GoCanvas

    • Are the quoted amounts in dollars, and does the three-user annual minimum, onboarding or a custom integration apply to our team?
    • Which package holds the API, multi-user workflow and Public Forms we need, and who sets the client timeout window?

    Ask TrueContext

    • Which tier does the quote assume for REST API access, approvals and group dispatch, and in what currency is the team-wide amount?
    • Who maintains forms, mappings and failed deliveries after go-live, and what does an extra form or user change in the price?

Week 1, the same equipment check in both with synthetic data. Sync or reconcile, disconnect, complete the form with a photo and a signature, and reconnect. In GoCanvas, also leave a prepared device offline beyond your intended shift to see the credential window. In TrueContext, compare the device-sent and server-received times and confirm the record reached its destination before clearing the outbox. The trial positions differ: GoCanvas advertises 14 days without a card, while the TrueContext record shows a request-only route, so settle the environment in writing.

Week 2, the people and systems around the form. Dispatch a prefilled job in each product and note how it reaches a phone and a tablet. Run one rejection, a handoff reject in GoCanvas and a requested change in TrueContext, and compare what the originator keeps and sees. Send one completed record to a test endpoint in each, correct a field and look for duplicates and recovery after a failed transfer. Finish with cost for your real headcount, tier and add-ons from written quotes.

    Worked evaluation scenarios

These scenarios are hypothetical. They show how to turn the record facts into a demo test and what outcome would change a choice; they are not case studies or customer results.

Hypothetical: a team of unknown size choosing by total commitment

A service firm has not decided whether three, eight or twenty people will use the product in the first year. The GoCanvas record shows per-user packages with annual billing and a three-user minimum. The TrueContext record shows a Digital tier starting at a monthly amount for the entire team on annual billing, and quoted Intelligent and Elite tiers, with no confirmed currency for either. Ask both vendors for written quotes at three, eight and twenty users that include the features your pilot form needs, such as a handoff, an API call and dispatch. Set the quotes side by side. If the crossover point sits inside your likely headcount range, or one quote adds an integration or onboarding service, the published list amounts will have misled you.

Hypothetical: a technician returns to coverage with five finished forms

A technician finishes five forms in a cellar, then walks back to the van. The TrueContext documentation says a reconcile needs a network connection and the app on screen, and that a form which fails to send remains in the device outbox. The GoCanvas help article says a sync uploads the submissions and also receives form changes, reference data and assignments, and the record asks for the receipt to be checked in the office. Complete five forms offline in each product, reconnect, and in one run switch to another app straight away. Compare what the office has after two minutes and after ten. If forms wait until the app is reopened, write that step into the training for the crew.

Hypothetical: one inspection that produces two documents for different readers

A contractor wants one inspection to yield a short sheet for the customer and a fuller record for its own file. The TrueContext documentation describes PDF, Word and HTML documents from a submission with separate field and layout choices, with delivery depending on the configured data destination. The GoCanvas record lists configurable PDF reports from Essentials, while Max is where the record lists live data sources and reference documents. Build both documents from one test submission in each product, send them to two test mailboxes and compare what each recipient sees, including photos and signatures. If a document needs a package or destination that is not in the quote, or the customer copy shows internal fields, change the template before judging the product.

What the records do not establish

    GoCanvas

    • The contract currency behind the dollar amounts, and the price of custom integration, analytics or onboarding work.
    • Offline passing of a submission to a second user.
    • Whether Public Forms submissions match the mobile-form feature set.

    TrueContext

    • The currency of the Digital amount, team limits, set-up costs and renewal terms.
    • Whether the REST API belongs to every tier: the pricing FAQ says so, while the plan matrix and the API documentation do not.
    • A general trial, since the reviewed pages give a 14-day period only for the Salesforce AppExchange package.

    Neither product

    • Which of the two is easier to use, faster to roll out or cheaper in total: vendor documentation alone was reviewed, with no hands-on test.
    • Review evidence: no verified score sits in either record.

Written from the profile records and the decision guide above, not from a hands-on test. Where a record is silent, the page says so instead of filling the gap.
