Already using MaintainX? What its record leaves open
Limitations the MaintainX profile records:
- Free-plan limits constrain repeating work and procedure use
- Inventory and integration requirements can move the purchase to a higher tier
- Requester and browser access do not share the mobile offline workflow
- SSO is documented as Enterprise-only and security reports require separate review
Available only under stated conditions or not documented (checked 2 October 2026): Inventory and integrations; Multi-site administration; Offline technician work; SAML single sign-on; Security assurance; Configurable inspections and corrective work; Work-request intake and approval; Purchase orders and inventory replenishment; Condition-based maintenance; Permit to Work. Check each against the contract you hold.
Listed candidates that document a capability with a related name (confirm the scope in a demo):

MaintainX evaluation checks, for every candidate
- Functional depth: Demonstrate one recurring job from request through reviewed closure. Source
- Usability & adoption: Observe cache preparation and confirmation that disconnected work has arrived on the server. Source
- Implementation & TCO: Price the required tier, rollout support and site administration together. Source
- Integrations & API: Inspect key scope, rate limiting, stable external identifiers, a failed transfer, retry and duplicate prevention using the quoted entitlement. Source
- Security & trust: Request the current SOC 2 report and ISO 27001 certificate scope, then demonstrate Enterprise SSO, roles, retention and deprovisioning for the proposed deployment. Source
Leaving MaintainX: what to plan for
- The maintenance history of each asset is what a team cannot recreate: work orders with photos, comments, parts, labour and downtime. The reporting page describes PDF and CSV exports and scheduled reports, and the API uses scoped keys, external identifiers, rate limits, polling and webhooks, with REST access listed under Premium. Plan a bulk extraction that fits the rate limits, and keep the external identifiers so that records still match the other systems that refer to them.
- List recurring work and procedures as the rebuild inventory. Procedures hold checklists, pass, flag and fail checks, photos, signatures, meter readings and conditional fields, and failed checks can raise corrective work orders depending on plan. Condition-based rules that read meters normally rely on an operational-technology connector or the REST API, so each connector is a separate re-pointing job in the replacement.
- Clear what is in flight and who submits to you. Public portals and requester accounts feed requests for approval, and purchasing supports approvals, vendor transmission and partial fulfilment, so open requests and purchase orders should finish in the old system or be reissued. Requesters need a new address to submit to, and single sign-on is Enterprise-only, so deprovisioning of leavers should be confirmed during the overlap.
Who may have reason to stay with MaintainX
- The record is clear that this is principally a maintenance system and not an EHS or quality suite. If the gap that prompts a search is safety or quality records, adding a tool next to the maintenance application is an alternative to replacing it. Replacing it means losing technician workflows and asset history that work, so decide which problem you are solving first.
- Offline use is documented in detail, which makes it easy to check against your own roles. It applies to the mobile app for full users and administrators, needs a connection first to prepare the cache, and excludes requesters and the web app. On plans the two vendor pages differ: the help article names every plan, while the pricing comparison table puts offline mode under Premium and Enterprise only, so ask which tier applies and get the answer in writing. If your technicians are eligible, the complaint may lie with a requester who works in a browser, which is a documented exclusion rather than a fault.
- A price complaint may be a tier mismatch. Essential is $20 per user a month on annual billing and Premium $65, more than three times as much, and inventory, purchasing and the REST API sit in Premium while SSO needs Enterprise. If you hold the lower tier and need those features, the cost of fitting is what to compare, not the entry rate; a team that needs none of them may simply be on too high a tier.
What to test in a trial of a replacement for MaintainX
- Run a prepared job in the candidate with the technician role you will really issue: load the asset, order and procedure, disconnect, add a note and a photo, edit the same order from a second account, reconnect and look at the resolved record. Then have a reviewer reject incomplete evidence and read the correction history, which shows whether the first submission survives.
- Check that a figure on the dashboard can be traced. Complete planned and reactive work on two assets with labour, parts and downtime, build a filtered view of preventive-maintenance compliance, repair time and cost, follow one number back to its source orders, schedule an export and check its time zone and filters, and correct an order to see the report change.
- Exercise the interface under failure. Using the entitlement actually quoted, look at the key scope, the rate limit and the stable external identifiers, interrupt a transfer, retry it and check that duplicates are prevented. If single sign-on matters, remove a test user in the identity provider and confirm that access ends in the maintenance product as well.
