    MaintainX

MaintainX connects maintenance requests, work orders, procedures and technician updates. Its work-order page describes photos, comments and parts information alongside mobile execution. Current API documentation covers scoped bearer keys, external identifiers, rate limits, polling and webhooks, while SAML SSO is documented as Enterprise-only. Evaluate it with your own recurring job, asset record and review process, then identify which paid tier supplies the inventory, interface, identity and management features you need.

    Evidence: Researched profile

    Who is MaintainX for?

Maintenance teams organizing technician work and repeatable procedures across equipment and sites. MaintainX is principally a CMMS, not a complete EHS or QMS suite. Its Permit to Work capability is documented as Beta and should not be assumed to provide production-ready isolation, simultaneous-operations or permit-conflict controls. Purchasing, advanced automation, routing, multi-site administration and identity features are plan-dependent.

Evaluate the tier that supports the complete maintenance workflow, including planning and review. A technician pilot is useful only if the cost also covers inventory, integrations and site administration required in production.

Watch for: Free-plan limits constrain repeating work and procedure use.

Published price: Published plans; confirm currency. Free trial documented. Sources checked .

    Capabilities and scope

The official About page identifies MaintainX as part of Autodesk. This profile covers the MaintainX maintenance application; it does not extend its capabilities or licence to other Autodesk products. MaintainX maintenance work management, procedures, inspections, requests and plan-dependent inventory, purchasing, integrations, multi-site controls, condition-based automation and Beta Permit to Work.

    SAML single sign-onDepends on scope

    Security assuranceDepends on scope

MaintainX's security page states SOC 2 compliance and ISO 27001:2022 certification for the platform and Montreal office. Request the current report and certificate scope; neither was independently reviewed for this profile.

Maintenance reporting and scheduled exportsDocumented by vendor

The reporting page describes asset-health, PM-compliance, cost and downtime views, custom dashboards, filters, scheduled reports and PDF or CSV exports. Confirm which plan includes each view and test the audit trail and calculation behind the KPIs used for decisions.

Configurable inspections and corrective workDepends on scope

Procedures can include checklists, pass/flag/fail checks, files, photos, signatures, meter readings, location check-ins and conditional fields. Failed checks can prompt or trigger corrective work orders, depending on configuration and plan.

Work-request intake and approvalDepends on scope

Requester users and public portals can submit requests for approval or rejection; approved requests become work orders. Request routing is documented for Premium and Enterprise rather than Enterprise only, and portal access differs from licensed-user visibility.

Purchase orders and inventory replenishmentDepends on scope

Eligible plans support purchase requests, approvals, vendor transmission, partial fulfillment, completion and inventory updates. User and administrator purchasing permissions differ.

    Condition-based maintenanceDepends on scope

Meter thresholds can trigger requests or work orders. Automation scope varies by plan; automated readings normally require an OT connector or REST API, and thresholds need piloting.

    Permit to WorkDepends on scope

MaintainX documents permit approvals and change requests on eligible plans. Permit to Work was introduced as Beta in August 2026; validate suspensions, closeout, isolation controls and production support before hazardous-work reliance.

Also watch for: Inventory and integration requirements can move the purchase to a higher tier. Requester and browser access do not share the mobile offline workflow. SSO is documented as Enterprise-only and security reports require separate review.

    Offline work and integrations

The help article says offline mode is available on all four plans, for Full Users and Administrators, not Requesters or the web app, while the pricing comparison table lists Offline Mode under Premium and Enterprise only; ask MaintainX to confirm in writing which tier applies. Demo script

Demo exercise: prepared job to reviewed completion

    1. Load a sample asset, work order and procedure using the proposed technician role.
    2. Disconnect the device and add a completion note and photo.
    3. Change the same order from a second account, reconnect and inspect the resolved record.
    4. Ask a reviewer to reject incomplete evidence and inspect the correction history.

Demo exercise: maintenance record to management report

    1. Complete representative planned and reactive work against two assets, including labor, parts and downtime data.
    2. Build a filtered dashboard for PM compliance, MTTR and maintenance cost, then trace one KPI back to its source records.
    3. Schedule an export, inspect its timezone and filters, and demonstrate how a corrected work order changes the reported result.

Demo exercise: failed inspection to corrective work

    1. Attach an inspection procedure with pass, flag and fail checks, conditional evidence fields and a signature to a scheduled work order.
    2. Have a technician fail one check, attach evidence and complete the inspection so the configured corrective-action behavior runs.
    3. Assign, complete and review the resulting corrective work order, then trace both records through reporting and history.

Ask the vendor to show you

    1. Which plan includes our procedures, recurring orders, inventory and API requirements?
    2. Can a technician prepare a job, add evidence offline and confirm server receipt after reconnecting?
    3. What can a requester do when connectivity is lost?
    4. How does a reviewer return incomplete work for correction without losing the original submission?
    5. Which currency, billing term, implementation services and renewal increases apply?

    Questions the sources answer

    Is MaintainX part of Autodesk?

Yes. The reviewed official About page identifies that relationship. This profile evaluates MaintainX itself; ask which contracting entity and product licence apply to your proposal.

Can every MaintainX user work offline?

No. The documented mode is for eligible mobile users with prepared content. Requester accounts and the web app are excluded. The help article and the pricing comparison table disagree on which plans include it, so ask MaintainX to confirm the tier in writing; test the exact role and device you intend to deploy.

Did QHSEtech verify MaintainX's SOC 2 report or ISO certificate?

No. The official security page publishes those statements, but this review did not inspect the underlying assurance documents or assess a customer deployment. Request the current report, certificate scope and applicable contractual terms.
