Where the two scopes differ
The two records differ first on what a buyer can try before a sales conversation. MaintainX documents a free Basic plan and Try for Free entry points, and its record treats the paid-plan trial duration as unconfirmed. Fiix also lists a limited free plan, but its record says that a free plan or a product tour does not establish a trial of a paid tier, and marks the trial as unverified. Both vendors therefore need evaluation terms in writing, though the starting position is not the same. Each product also belongs to a larger group, MaintainX to Autodesk and Fiix to Rockwell Automation, and in both records the group name does not extend the licence to the group's other products.
The next difference is where integration and identity features sit and what the vendor says it will support. In Fiix the API requires Enterprise, carries a documented allowance of 1,000 calls per day per user licence, has no database connectors, and comes without troubleshooting or acceptance-testing help for the customer's own applications. Single sign-on is limited to Enterprise and works with both SAML 2.0 and OpenID Connect, with a one-time setup fee and a yearly platform fee, and the record states that Fiix has no native multi-factor authentication. In MaintainX the REST API is listed from Premium, with bearer keys, rate limits, polling and webhooks in its documentation, and SAML SSO is Enterprise-only with Google, Microsoft Entra ID and Okta named. A buyer with an identity-provider requirement should read the Enterprise lines of both quotes, but only the Fiix record names the fees and support limits.
Disconnected work follows different rules. MaintainX documents a prepared cache for eligible roles, with changes local until they synchronise and competing edits to be tested. Fiix documents local records and media that synchronise once a stable connection returns, with unsynced updates invisible in the web application and local changes lost if the user logs out first. The Fiix record therefore turns offline work into a procedure question (logout, upgrades, device replacement), and the MaintainX record turns it into a role question, since requesters and the web app sit outside the mode. For usage-based maintenance, Fiix documents meter readings that can trigger scheduled work, but not in the v6 Equipment version, not from CSV-imported readings and not with two readings of one unit on one asset. MaintainX documents meter thresholds that raise requests or work orders, with automated readings normally needing an operational technology connector or the REST API.

When each is the safer first demo
Start with MaintainX when
MaintainX is the safer first demo when the requirement is a procedure that creates corrective work and a request channel that needs approval. The free plan lets a team test a real template before talking to anyone. Keep Permit to Work out of the scoring unless hazardous-work authorisation is a requirement, because the record describes it as Beta and asks for suspensions, closeout and isolation controls to be validated first.
Start with Fiix when
Fiix is the safer first demo when equipment history and spares have to reconcile: a finding, a follow-up order, a reserved part, a disconnected update, then the web record, the stock record and an export. If audit trails and e-signatures are on your list, ask for them on Enterprise by name. Run the demonstration on the Equipment version you would be deployed on, because the meter-trigger limits depend on it.
A two-week evaluation plan

- Itemise the tier that holds recurring procedures, inventory, purchasing and the REST API, and which of multi-site management, team routing and SAML SSO need Enterprise.
- Ask for the currency, billing term, renewal increases and the paid-plan trial terms in writing.
Ask Fiix
- Itemise the Professional or Enterprise lines for multi-site, purchasing, audit trail, e-signature, Integration Hub, custom API, app exchange and SSO, with the SSO setup fee and the yearly platform fee as separate lines.
- Ask for evaluation terms on a paid tier, and ask what the daily API allowance means for your volume: licences multiplied by 1,000 against the transfers per day you expect.
Week 1, disconnected work. Prepare the same order for a technician in each product, work offline with a note and a photo, then reconnect. In Fiix, check the web application before and after synchronisation, then begin a logout while work is unsynced and record what the app warns; agree the procedure for upgrades and device swaps. In MaintainX, repeat the exercise with a requester account to see what that role can do, and edit the same order from a second account. A technician should be able to say without help whether their work has reached the server.
Week 2, the records managers use. Complete a preventive and a reactive job with labour and parts in both, trace one cost or compliance figure back to its orders, then correct a source record and watch the figure change. Test the integration you plan: for Fiix, a call volume against the daily allowance and who supports a failure; for MaintainX, key scope, rate limits and webhook retries. If you plan meter-triggered work, run a threshold crossing through the production input path, including CSV import for Fiix. Close with a one-year and a three-year total for the same sites and users.
