    UpKeep

UpKeep describes a CMMS for work orders, preventive maintenance, asset records and spare parts. Its plan table separates basic execution from inventory, advanced reporting, offline work and enterprise interfaces. Current integration documentation distinguishes native connectors, Zapier, REST API and webhooks, while the Trust Center states that application and customer data are hosted and processed in the United States. Use a technician-and-planner demo to establish which subscription, region and integration path support the complete job.

    Evidence: Researched profile

Built from vendor sources checked ; AI-assisted drafting. Documentation review, not a hands-on test. How pages are made

    Who is UpKeep for?

Maintenance teams replacing fragmented recurring schedules and technician records with a shared CMMS. Offline availability depends on the subscription and prepared mobile content. An advertised mobile app does not establish offline access on every tier.

UpKeep is worth testing when technicians and planners need one maintenance record. Compare the cost of the tier required for offline work and interfaces, including rollout services, with the full workflow demonstrated in a pilot.

Watch for: Offline access requires Professional or Enterprise. Cache, draft and image limits need checking against the proposed field workflow. Enterprise interfaces and rollout services can change the total budget.

    Offline work and integrations

Current help documents offline work for Professional and Enterprise mobile users on iOS and Android. Prepare assigned or bookmarked orders while connected. The help article describes offline edits, notes and photos as syncing automatically on reconnection and advises allowing a few seconds for the background sync; cache, draft and image limits vary by plan. No receipt indicator is described there, so test how a user can confirm server receipt.

    What we could not verify

    6 depend on scope

    Demo script

Demo exercise: recurring job with an interrupted connection

    1. Schedule a recurring sample job and identify the assigned asset and technician.
    2. Prepare the order on the proposed mobile plan and disconnect.
    3. Record the required checklist, note and photo; demonstrate any unsupported steps explicitly.
    4. Reconnect, verify the server record and review time, parts, completion evidence and correction history.

Demo exercise: meter-triggered PM to auditable report

    1. Configure a representative meter threshold, checklist, required part and assigned technician.
    2. Cross the threshold and verify that one work order is created with the expected asset and instructions.
    3. Complete the work with time and part usage, then inspect PM compliance, cost and audit-history outputs in a scheduled report.

Demo exercise: public request through stocked repair

    1. Scan an asset-specific portal QR code and submit a defect with a photo without signing in.
    2. Review and approve the request, verify context, and route it to the correct work order.
    3. Reserve and issue a part from the correct storeroom; trigger replenishment if stock reaches minimum.
    4. Complete the repair and verify requester updates, parts deduction, labor, cost, approval trail and asset record.

Ask the vendor to show you

    1. Which quoted tier includes our preventive work, inventory, offline access and reports?
    2. Can we inspect the exact cache, draft and image limits on our devices?
    3. What happens when two people update the same order during an outage?
    4. Which API, SSO, multi-site or adjacent-product features are separately licensed?
    5. What are the trial entitlements, conversion terms and complete first-year costs?

    Questions the sources answer

Does this profile include UpKeep Safety, Learn or sensor hardware?

No. Those adjacent offerings need separate review. CMMS category membership does not establish their inclusion in a maintenance subscription.

Where does UpKeep say customer data is hosted and processed?

The reviewed Trust Center states that its applications are hosted in AWS in the United States and customer data is stored and processed exclusively in the United States. Confirm the current contractual region and subprocessors for the proposed service.
