Already using UpKeep? What its record leaves open
Limitations the UpKeep profile records:
- Offline access requires Professional or Enterprise

UpKeep evaluation checks, for every candidate
- Functional depth: Show one recurring order with the required asset, parts and completion records. Source
- Usability & adoption: Test a realistic offline shift against cache and capture allowances. Source
- Implementation & TCO: Quote the offline-capable tier, migration, implementation and training together; distinguish the published service options from the scope actually proposed. Source
- Integrations & API: Identify whether the contracted path is a native connector, Zapier, REST API or webhook, then demonstrate authorization, failure, retry and duplicate prevention. Source
- Security & trust: Review the current Trust Center evidence, DPA, subprocessors and US data-region statement, then check which tier provides the required identity, access and audit controls. Source
Leaving UpKeep: what to plan for
- Make sure no technician is carrying unsynchronised work on the day of the cut-off. The record says the help article has edits, notes and photos made offline sync by themselves once the device reconnects and suggests waiting a few seconds for the background sync, with limits on cache, drafts and images varying by plan; offline use is listed for the Professional and Enterprise plans. It describes no receipt indicator, so test how a user can confirm the server has the work. Ask each person to check that completed checklists, notes and photos show in the record, and keep the old system read-only until they do.
- Asset codes and parts labels are physical items that outlast the software. The record describes QR lookup on mobile for assets and barcode or QR issue and receipt for stock, so a successor may mean reprinting or re-linking those codes, or keeping the old links alive for a while. Count the labels before choosing a cut-over date.
- The request portal accepts requests without a login through links or QR codes, and the pricing FAQ says requesters are not paid users. People who raise requests may therefore have no account to notify about a change. Find where those links and codes are posted, and plan how requesters learn the new route before the old one stops working.
- Scheduled reports and audit trails are outputs that other people may rely on without knowing where they come from. The record lists live dashboards for preventive-maintenance compliance, downtime, labour and parts cost, scheduled reports, PDF export and audit trails. Identify the recipients of each scheduled report and export the history that supports any compliance figure already shared.
Who may have reason to stay with UpKeep
- A schedule built on meter or condition triggers is configuration with history behind it. The record describes time-, meter- and condition-based triggers that generate work orders automatically, with checklists and parts planning. A replacement has to reproduce each trigger, and the record asks which triggers and sensors the quoted tier includes, so the same question applies to a candidate.
- Seat definitions change the arithmetic. The record lists two entry prices per user per month and says view-only, requester and third-party users are free, with paid users limited to administrators and two technician types. A site with many requesters and few technicians should compare how a candidate counts users before comparing any price per seat.
- Stock handling and procurement are described as different scopes. Inventory covers thresholds and low-stock purchase-order drafts, while a procurement product with requisitions, approvals, receiving and three-way matching is called separately scoped. A team that only relies on the drafts has a smaller requirement than one that runs approvals, and the quote should say which.
- A security review that has already accepted the vendor's statements may have to be repeated in a move. The record says the trust page states a SOC 2 Type II examination, hosting in AWS and storage and processing of customer data only in the United States, while noting the reports were not reviewed here. Check the region against your own requirements before treating it as settled.
What to test in a trial of a replacement for UpKeep
- Have two people change the same order while the device is offline, then reconnect and see which edit survives and whether the other is kept. The record leaves this open, and the limits on cache, drafts and images differ by plan, so run it on the tier that is quoted and not on a higher one; the record notes offline access requires Professional or Enterprise.
- Set a meter threshold with a checklist and a required part, cross it, and check that exactly one work order is created with the right asset and instructions. Then complete the work with time and parts, and look at the compliance, cost and history outputs in a scheduled report, using the same sample on each candidate.
- Scan an asset's request code without signing in and submit a defect with a photo. Approve it, route it to a work order, issue a part from a storeroom and see whether replenishment starts when stock hits the minimum. The test follows one request across the portal, inventory and the asset record.
- Identify the integration path in the quote as a native connector, Zapier, a REST API or webhooks, then test authorisation, a failure, a retry and a duplicate. The record says the plan table places API and custom integration, single sign-on and custom roles in the enterprise tier, so the path has to match what is licensed.
