    Where the two scopes differ

These records set a quote-led portfolio beside a published ladder, and each describes the unit of purchase differently. Benchmark Gensuite's pricing page shows three columns (Ready, Quick Start, Enterprise) with one Get a Quote button and no amount; all-modules scalability, a pre-configured instance and private cloud hosting are ticked in each column, and "mostly for large organizations" only under Enterprise. The record warns that portfolio breadth does not show which applications a contract includes. Intelex publishes a per-user monthly rate billed annually and a 25-user minimum for a packaged Essentials tier of incidents, action plans and inspections, lists add-ons such as training and document control, and quotes Advanced and Enterprise.

Offline is documented at different grain. The Benchmark Gensuite pages mention an offline homepage with Quick Notes, QR scanning of safety data sheets and lockout procedures, inspections online or offline, audits regardless of connectivity and permit management on and offline; the record warns that this is not parity across the portfolio. Intelex's mobile page lets workers log incidents, inspections, observations and near misses without a connection and synchronise later, but its pricing page lists responsive web access for Essentials and iOS, Android and web for Advanced and Enterprise, so entitlement must be matched to the quote.

Control of work and sustainability scope differ in shape. Benchmark Gensuite names work permits, lockout/tagout and management of change as tools, and its sustainability suite page covers Scope 1, 2 and 3 tracking with disclosure workflows. Intelex keeps a Permit to Work application apart from regulatory permit renewals, and offers an ESG application with forms, dashboards and factor libraries; its pricing page lists neither among the Essentials add-ons. For integration, Benchmark Gensuite describes two-way APIs and a transformation tool, and Intelex a permission-aware REST API with a published throttle and a Workday gateway; entitlement is unconfirmed for each.

When each is the safer first demo

    Start with Benchmark Gensuite when

A Benchmark Gensuite demo fits first when several sites need one audit-to-corrective-action process and a draft list of applications exists. Ask for an audit to be planned, executed on a phone, held at draft findings for review and closed through an action, with an entitlement map tying each application shown to a quote line.

    Start with Intelex when

An Intelex demo fits first when the entry need is incidents, actions and inspections on a published tier with a 25-user minimum billed annually. Run it on the tier you would buy, in the web app that Essentials lists; if native offline use matters, repeat it on a tier listing the mobile apps and write down the price gap.

    A two-week evaluation plan

    Ask Benchmark Gensuite

    • Can named applications, site scope, implementation and integration services be quoted as separate lines, since the pricing page shows three columns and no amount?
    • Which applications work offline, on which devices, and how are conflicting approvals on one permit resolved?

    Ask Intelex

    • Which tier includes the native apps you need, are add-ons such as document control or observations required, and what does the trial enable and for how long?
    • What API throttle applies to your plan, and is the Workday or other HR connector included?

Week 1: run one scenario in both. A worker with no signal reports an incident from a phone, adds a photo and reconnects; a supervisor assigns a corrective action and a second person rejects the closure. Check record, history and assignments after synchronisation, then repeat with an inspection. Intelex offers a trial on request with the duration unconfirmed, and Benchmark Gensuite a demonstration, so agree test users, sites and dates first.

Week 2: raise a permit for work that overlaps another job in the same area and check what each tool shows the second requester, how isolation is linked and which approval order is enforced. If sustainability is in scope, produce one output and trace a figure to its source and factor. End with a written list of the applications used, set against each quote line.

    Worked evaluation scenarios

These scenarios are hypothetical. They show how to turn the record facts into a demo test and what outcome would change a choice; they are not case studies or customer results.

Hypothetical: a plant whose boiler house loses signal

A food plant has three buildings, and technicians lose signal in the boiler house. The Benchmark Gensuite record documents an offline homepage with Quick Notes and inspections that run offline, but warns against assuming every application behaves the same way. The Intelex record documents offline logging of incidents, inspections, observations and near misses, with the native app tied to the tier. In each product, put a phone in flight mode, record an inspection finding with a photo, then reconnect and inspect the server record. If the form you actually need is not among the offline ones, or the Intelex tier you would buy lists responsive web access, record that gap before price enters the discussion.

Hypothetical: audits across six sites that must end in closed actions

A company with six sites wants one audit programme in which findings end in closed corrective actions. The Benchmark Gensuite record describes planning, qualified auditor assignment, execution regardless of connectivity, review of draft findings and action closure as one connected lifecycle. The Intelex record describes audit scheduling, checklists, classified findings, due-dated action plans and offline mobile audits, and lists Corrective Action Reporting, which covers effectiveness verification, as a separate application. Run one audit from planning to closure in each product, with a different person verifying the closure. If a step needs an application missing from the quote, or the record trail breaks between two applications, add that application to the cost.

Hypothetical: an integration owner sizing a nightly load

An integration owner must load 5,000 records every night from a payroll or HR system and fears silent failures. The Intelex record describes a REST API that keeps each user's permissions, a published limit of six requests per second and an HTTP 429 response when throttled. The Benchmark Gensuite record describes two-way APIs and a Data Integrator for transformation and export, and states no throughput figure. Ask each vendor for the limits in writing, run a load that includes malformed rows and see who is told of a failure. If retries, backoff or error handling are left to your team, size that work in the project plan.

What the records do not establish

    Benchmark Gensuite

    • A numeric price: the page shows three plan columns and no amount.
    • Offline parity across the portfolio, or safe simultaneous approval of a permit.
    • A self-service trial, or which applications each column includes.

    Intelex

    • An Advanced or Enterprise amount.
    • Native offline entitlement in Essentials, or offline permit approval and isolation state.
    • The duration of a trial and the applications it enables.

    Neither product

    • Which product lowers incident rates or administration time: no outcome was reviewed.
    • Implementation effort, or whether the security reports each vendor lists are current, since none were reviewed.

Written from the profile records and the decision guide above, not from a hands-on test. Where a record is silent, the page says so instead of filling the gap.
