Where the two scopes differ
Both records describe configurable platforms bought in parts, and the useful difference is what the buyer is asked to count. The HSI Donesafe record says pricing is built from the number of workers, the selected application modules and support services, with no numeric rate, currency or billing interval on the reviewed page. HSI Donesafe lists configurable incident stages from triage through root cause methods such as 5 Whys and ICAM to review, corrective action and completion, plus a named OSHA 300, 301 and 300A set of logs for the United States, contractor self-registration with inductions and expiry notices, a quality module for nonconformance and supplier performance, an emergency module covering wardens and first aid certifications, and a psychosocial hazard module. The Intelex record lists permit to work as a dedicated application distinct from regulatory permit tracking, management of change, document control with acknowledgement, audit management, ESG collection and an HR-system integration for worker records. Each list is what the review found, and neither says the other vendor lacks the topic.
Ownership of configuration is the third difference. The HSI Donesafe record says flexibility needs a named internal owner and that conflicting edits and attachment limits in the offline application were not verified. The Intelex record points at tier and entitlement instead: native offline capture is documented, but Essentials lists responsive web, and API access carries the permissions of the calling user. For both, an offline capture of an incident does not establish offline approval of anything.

When each is the safer first demo
Start with HSI Donesafe when
HSI Donesafe is the safer first demo when the aim is to replace several disconnected forms and registers with one configured workflow, started module by module. Choose the single process that hurts most, for example a hazard report with a photo that becomes an assigned action, and ask who would build and maintain that form after implementation. If contractors are central, begin with the registration and expiry flow and ask whether an expired qualification only warns or also blocks site entry.
Start with Intelex when
Intelex is the safer first demo when you need a stated entry price to budget against, or when the first workflow involves separate applications that must hand over to each other: hazardous-work authorisation, a controlled document revision, or a change request. Ask for the tier you would sign for, and run the demonstration in that tier so that a feature belonging to Advanced or Enterprise is not mistaken for part of the Essentials price.

- Ask whether native offline mobile capture is included at the quoted tier, and request the trial length and enabled applications in writing.
- Ask which of permit to work, document control, management of change and ESG are inside the quote and which are priced as add-ons, with implementation and connectors listed apart.
Week 1, field capture on both. Load the intended form onto a phone, disconnect, capture a hazard or incident with a photo, restart the app, reconnect and inspect the uploaded record. Add a second device that edits the same record before the first reconnects and write down the outcome. Neither record establishes a self-service free trial, so agree a vendor-run environment, test users and dates before the first day.
Week 2, the specialist workflows you actually need. For HSI Donesafe, run a contractor through registration, upload a qualification, let it expire and see what the site manager and contractor are told, then take a nonconformance through investigation to a verified corrective action. For Intelex, request a test work permit, change a condition and watch the review and reissue steps, then replace a document and obtain an acknowledgement. Finish by reading each quote line against the application names you saw working.
