Where the two scopes differ
The price ladders in the two records hide different gaps. UpKeep publishes Essential at $24 and Premium at $55 per user per month, and quotes Professional and Enterprise. Offline work is documented only for those two quoted tiers, API, SSO and multi-site options are listed at Enterprise, and inventory and time and cost tracking begin at Premium. Fiix publishes Basic at $45 and Professional at $75 per user per month and quotes Enterprise. The UpKeep record cites a Trust Center that names AWS hosting and states that customer data is stored and processed only in the United States, and lists reports, a data processing agreement and subprocessors for review. Preventive scheduling and records work differently too. UpKeep's record describes time, meter and condition triggers that generate orders with mobile checklists and parts planning, a public request portal opened by QR code, and an asset registry with hierarchy, lifecycle and depreciation data. When each is the safer first demo
Start with UpKeep when
UpKeep is the safer first demo when a public request channel and stocked repairs are the first requirement and a United States data region is acceptable. Follow one defect from a QR-code submission through approval, a part issued from a storeroom and a replenishment draft, to the asset record. Ask for the tier by name first: the redesigned portal and offline work are documented for Professional and Enterprise, so a session on a lower tier would not show them.
Start with Fiix when
Fiix is the safer first demo when the first requirement is control over who changed what and multi-site purchasing at a published price. Ask for the audit trail and e-signatures on Enterprise to be shown separately from the Professional features. Run the meter-trigger exercise on your proposed Equipment version, since the record says the documented behaviour is unavailable in v6 Equipment.
A two-week evaluation plan
Ask UpKeep
- Say whether the quote is Professional or Enterprise, since offline work needs one of them, and ask for the cache, draft and image limits in writing.
- Ask for the integration route (native connector, Zapier, REST API or webhooks), its owner, and which published implementation and training options apply, each as a separate line.
Ask Fiix
- Ask which of multi-site, purchasing, audit trail, e-signature, Integration Hub, custom API and SSO fall in the quoted tier, and which carry additional fees.
- Ask for the contracted hosting region, current security evidence and the evaluation terms for a paid tier.
Week 1, the cheap questions first. Before any hands-on work, send both vendors your data-residency and security-review requirements and ask for the current assurance documents and subprocessor lists, because a United States only statement or an unconfirmed region may end the evaluation early. Then run one field exercise in each: prepare an order, disconnect, complete a checklist with a photo, reconnect and read the server record. In Fiix, compare the web application with the phone before synchronisation. In UpKeep, keep the app open as the help text requires and note what the tier limits.
Week 2, the planner exercise. Build one recurring job with a meter or time trigger. In UpKeep, cross the threshold and check the order, checklist and parts that appear. In Fiix, cross it through a supported in-product entry and then through the production input path, and record any route that fails to generate work.
