    Where the two scopes differ

Clappia's record describes a general-purpose no-code platform on which inspection apps are built, while the GoCanvas record describes a forms product whose packages decide workflow and integration scope. The consequence for a buyer is who carries the design work: the Clappia record says the buyer owns process design, testing, permissions and change, and the GoCanvas record asks the buyer to map each needed capability to Essentials, Pro or Max and to any add-on service.

The price lists are not in one unit. Clappia shows a free plan for up to 100 users with 400 submissions and 400 workflow step executions a month, paid tiers priced in rupees per user, a separate dollar schedule and lifetime licences. GoCanvas shows three packages in dollars, per user per month, billed annually with a three-user minimum, with the currency unconfirmed. Clappia's pricing page also sets workflow step allowances by tier, and the GoCanvas packages page lists no equivalent allowance, so one workload will not map line by line from one quote onto the other.

Offline use is prepared differently. Clappia's help page has each worker open the app once while connected and, to edit existing records, load them with filters beforehand; its limitations say status changes do not work offline and that the block pulling data from other Clappia apps cannot fetch while disconnected. GoCanvas's help centre has users synchronise before leaving and again on return, with a credential check against the server every 24 hours by default.

Review and outside input differ as well. A Clappia approval node completes when any one configured approver changes the status, or when its expiry passes, after which later steps run; approval workflows are listed from Professional. GoCanvas passes a handoff to an assigned user; with rejection switched on, the help article says what the rejecting user filled in is deleted. For people without accounts, Clappia's link sharing opens in a browser, cannot be used offline and gives the submitter no way to view or edit the entry later; GoCanvas Public Forms are added through the account representative and listed as web forms under Max.

When each is the safer first demo

    Start with Clappia when

Start with Clappia when the form is unusual or changes often and a named person inside the company will build and maintain it. The free plan allows a test application before any purchase. Open with a disconnected capture of a prepared record, then an online link used by an outside reporter, and ask early which submission paths skip workflows, such as bulk upload and bulk edit.

    Start with GoCanvas when

Start with GoCanvas when three or more people will use it, the work is a form handed from one assigned user to the next, and package tiers are an acceptable way to bound scope. Ask which package licenses every step of the handoff, who sets the credential timeout, and whether outside reporters need a link, since Public Forms depend on enablement and a package.

    A two-week evaluation plan

    Ask Clappia

    • Which forms and existing records must each worker preload before leaving coverage, and what happens to pending files when an upload is interrupted?
    • What do workflow step, API and AI call allowances cost at our expected volume, and in which currency is checkout?

    Ask GoCanvas

    • Which package covers the handoff, the API and any follow-up tasks, and does the three-user annual minimum apply to us?
    • Who decides the client timeout setting on our devices, and what happens to a prepared device when it lapses mid-shift?

Week 1, build the same four-question checklist in both with a required photo on a failed answer, time the build, and have a worker complete it unaided on a phone. Then disconnect, finish it, restart the app and reconnect, and compare the final record and the attachment. In Clappia, load existing records first and read the pending submissions and files screen; in GoCanvas, sync before leaving and leave a second prepared device offline beyond the credential window. Note who had to be involved in each build.

Week 2, review and outsiders. In Clappia, route one record through an approval, let another expire, reject a third, and bulk-upload a fourth to see which workflow does not run. In GoCanvas, pass a submission to a supervisor, reject it once and see which entries remain, then dispatch a prefilled job. Submit a hazard from outside through a link in each product and check what the reporter can see afterwards. End with a twelve-month cost from written quotes.

    Worked evaluation scenarios

These scenarios are hypothetical. They show how to turn the record facts into a demo test and what outcome would change a choice; they are not case studies or customer results.

Hypothetical: a checklist that changes every week

A plant supervisor revises the weekly checklist almost every Friday and has no developer. The Clappia record says the buyer owns design, testing, permissions and change, and its help page tells workers to open the app once while connected and to load existing records before going offline. The GoCanvas record describes a form builder with conditions, a sync that receives updated forms, and package tiers that decide workflow scope. Have the supervisor add a conditional question and publish it in each product, then check on a phone that was last synchronised before the change what the inspector sees and when. If each change needs vendor help, or a prepared phone keeps the old version unnoticed, assign an owner for releases before rollout.

Hypothetical: an approver who never replies

A permit-style request needs sign-off from a named manager who is often unreachable. The Clappia help page says an approval node completes when any one configured approver changes the status, or when the expiry passes, after which later steps run. The GoCanvas help article describes handoff to a user assigned to the published form, and the record asks for the supervisor path and reconnection to be shown. Send a test request to an absent approver in each product and watch what happens at the end of the wait: whether later steps run, who is told and what the record shows. If an unanswered request lets work proceed, add a branch that stops it before the pilot.

Hypothetical: a pilot that must stay inside a free allowance

A site manager wants to run a pilot without a purchase order. The Clappia pricing page lists a free plan for up to 100 users with 400 submissions and 400 workflow step executions a month. The GoCanvas record advertises a 14-day trial without a card and cautions that trial access can exceed the purchased tier. Suppose each submission used two workflow step executions (the pages opened do not say how steps are counted): the allowance would then end at 200 submissions, before the submission cap. Count your expected volume, run the real workflow for two weeks in each product and note which limit or expiry arrives first. If the pilot stops before the evidence is gathered, ask for an extension or move it to a paid plan.

What the records do not establish

    Clappia

    • An offline approval: the record says status changes and shared web links need a connection.
    • That a completed approval node means a safe or authorised approval.
    • Enterprise pricing, and the checkout currency for the rupee and dollar schedules.
    • A preconfigured safety management system.

    GoCanvas

    • The currency behind GoCanvas's dollar amounts, and what its integration, analytics or onboarding services would cost.
    • A handoff to another user while both are disconnected.
    • Equivalence between Public Forms and mobile forms: the help article says parity is incomplete.

    Neither product

    • Build effort, usability or total cost compared side by side: the evidence is vendor documentation, not hands-on use.
    • A verified review score, which neither record carries.

Written from the profile records and the decision guide above, not from a hands-on test. Where a record is silent, the page says so instead of filling the gap.
