Where the two scopes differ
Both records describe mobile forms with offline completion, photo evidence and a follow-up route, and the first difference is how much of the commercial boundary a buyer can read. GoCanvas shows Essentials, Pro and Max with dollar amounts per user per month, annual billing and a three-user minimum, though the record leaves the contract currency and add-on prices unconfirmed. Lumiform shows Professional and Enterprise and asks for a quote on both; its pricing FAQ names euro, pound and dollar billing and says an upgrade applies to the whole workspace.
Review and follow-up are built differently. In GoCanvas the multi-user workflow, listed from Pro, uses a handoff that passes a submission to an assigned user, and where rejection is enabled the help article says data the rejecting user entered is deleted. The Lumiform record describes actions with an owner, priority, deadline and evidence, plus reminders, chat and a change log, with approvals in Enterprise or a Professional add-on. The GoCanvas packages page also lists Follow-Up Tasks under Max, which the record does not cover.
The offline records break in different places. GoCanvas's help article sets a default 24-hour window before the device must validate its credentials, adjustable by a client timeout setting. Lumiform's help pages describe an outbox for finished results that failed to upload, and say a new action may stay out of the web app until the action list is swiped down. The GoCanvas record says an offline handoff to another user was not established, and Lumiform's record adds that template edits reach only future forms and that submitted reports can be edited.

When each is the safer first demo
Start with GoCanvas when
Start with GoCanvas when the work is a form passed between people: an inspector fills the first screens, a supervisor completes the rest, and dispatch pre-fills the job. The help article says a push notification goes only to assignees who last used a mobile app, so test on their real devices, and ask which package licenses each step.
Start with Lumiform when
Start with Lumiform when the finding is the unit of work: a failed answer should raise an action with an owner, a deadline and a photo, and a manager should see what is overdue. Ask for the demonstration on the quoted package, with approvals shown or ruled out, and request a vendor-run test workspace, since no trial length is stated.
A two-week evaluation plan
Ask GoCanvas
- Is the quoted currency dollars, and which of the three-user annual minimum, onboarding or integration add-ons apply to four named users?
- Which package covers our handoff, API call and any follow-up task, and who approves the client timeout setting on our devices?
Ask Lumiform
- Can the quote list approvals, API access, webhooks, single sign-on and each integration as separate lines, with currency, billing term and seat minimum stated?
- Which roles may edit a submitted report, and how is the template version recorded for inspections finished before a change?
Week 1, the disconnected shift, with synthetic data and one checklist carrying a photo and a signature. In GoCanvas, sync, disconnect, finish the form, and leave a second prepared device offline beyond your intended shift to see what the credential window does. In Lumiform, finish the form offline, read the outbox, reconnect, create one action on the phone and note when the web app shows it. Settle in writing what any trial covers, and whether Lumiform offers one, first.
Week 2, the second person. In GoCanvas, send a submission to a supervisor, have it rejected once with a note, check which entries survive, then dispatch a pre-filled job. In Lumiform, raise an action from a failed answer, assign it outside the regular user group, close it under the quoted approval rules and retrieve an inspection finished before a template edit. End with a twelve-month total for the same headcount, with every add-on itemised.
Worked evaluation scenarios
These scenarios are hypothetical. They show how to turn the record facts into a demo test and what outcome would change a choice; they are not case studies or customer results.
Hypothetical: a four-inspector contractor asked for a first-year budget
A small contractor with four inspectors must give its owner a first-year figure before any demonstration. The GoCanvas record shows three packages with dollar amounts per user per month, annual billing and a three-user minimum, while saying the contract currency and add-on prices are unconfirmed. The Lumiform record shows no amount for either package and places approvals, API access and integrations in Enterprise or in Professional add-ons. Ask both vendors for a written twelve-month quote for four named users that includes what the pilot form really needs: a handoff, an API call and a recurring schedule. If the GoCanvas quote arrives in another currency or adds an integration service, or the Lumiform quote needs add-ons, any difference in the headline figures may change, so compare only the quotes.
Hypothetical: a sign-off that must keep the reviewer's notes
A site manager reviews inspections before they close and expects to send some back with a written reason. The GoCanvas help article says a receiving user may reject a handed-off submission with a note where that setting is on, and that data the rejecting user filled in is deleted from the submission. The Lumiform record describes actions with an owner, deadline, evidence, chat and a change log, with approvals depending on the package. Reject one test inspection in each product, then compare the originator's view, the reviewer's retained comments and the recorded history. If the reviewer's findings vanish in GoCanvas, move them into a field that survives; if Lumiform's approval step is outside the quoted package, note how a rejection would be handled without it.
Hypothetical: a three-day rota with no coverage
Inspectors board a vessel for three days with no mobile coverage and sync only on return. The GoCanvas help article gives a 24-hour default for credential validation, with a client timeout setting that the article shows at 30 days, and the record asks for the approved security setting before a long disconnected shift. The Lumiform record documents an outbox and a manual action sync but states nothing about how long an offline session lasts. Prepare two phones, keep them offline for 72 hours, then open a form, finish it and reconnect. In GoCanvas, note who must approve the longer timeout; in Lumiform, ask the vendor to state the session length in writing. A phone that refuses to open forms on day two would rule that configuration out for the rota.
What the records do not establish
GoCanvas
- The currency of the displayed dollar amounts, and any price for custom integration, analytics or onboarding.
- An offline handoff to another user, or what a device does when the credential window lapses mid-shift.
- Whether submitted forms keep a version history, which the record does not describe.
Lumiform
- Any numeric subscription amount, or the length and eligibility of a trial.
- What an approvals or API add-on costs on Professional.
- Voice-to-text working without a connection, by device and language.
- A locked state for submitted reports: the record says they can be edited.
Neither product
- Any difference in set-up speed or contract-term cost: the records review vendor documentation, with no hands-on test behind them.
- A verified customer review score: neither record carries one.
