How Clappia charges

Clappia charges per user per month on its public INR schedule, with a lower rate when billed annually: Starter INR 600 monthly or INR 450 annually, Professional INR 800 or INR 600.

A Free plan covers up to 100 users and 400 submissions a month. Enterprise has no public price. The same page also shows a separate dollar schedule, which is not recorded here.

Besides the monthly and annual subscription rates, the page lists per-user lifetime licences at INR 15k for Starter and INR 19k for Professional. A lifetime licence turns a recurring charge into a one-off one, so the comparison depends on how long you expect to use the product and on what the vendor includes in the word lifetime. The record says to confirm those terms rather than assume them.

The Free plan is best read as a limit on volume rather than on people. It allows up to 100 users but only 400 submissions a month, so a team that inspects daily can reach the submission cap long before the user cap. Use it to test fit, and size a paid plan from your expected monthly submissions.

Clappia is a configurable platform, so part of the cost is your own time: the buyer owns process design, testing, permissions, changes and ongoing administration. A low per-user rate is a licence price and does not describe that work.

Usage is a third meter after seats and submissions. The record asks for workflow usage and optional add-ons to be included in the quote, and for plan entitlements, API and AI call pools and third-party keys to be confirmed.

• Which currency the checkout uses (the INR schedule or the dollar one), with taxes and local terms.
• Workflow and API usage charges for your workload, and the optional add-ons, priced.
• Integration quotas and account access, before rollout.
• Bulk uploads and edits do not trigger normal workflows. Ask for every path that bypasses them to be shown, including system workflows and offline synchronisation, before you rely on a workflow for control.
• For each approval step: who may approve, and what happens on expiry, rejection, a change request and an unauthorised attempt, with the decision evidence kept. An approval node can complete after any configured approver changes status or after expiry, so branching has to be demonstrated.
• Which steps must work without signal. Status changes are not supported offline and public links cannot be used offline, and an offline submission is not an approved inspection or authority to work, so decide what stays online before choosing.
• Which forms and existing records workers must preload before leaving coverage, and how pending files recover after an interrupted upload.
• Whether outside reporters can use an online link without an account, bearing in mind that such links need a connection.
• Every AI provider, uploaded-document path, call pool, API key, retention rule, human review and rollback control behind apps built with AI. AI-created apps and AI Block outputs need human review, validation and sensitive-data governance.
• Do not rely on a GPS stamp as proof that someone was on site: it can be user-adjustable and does not prove presence.
