    Where the two scopes differ

These two records answer different regulatory questions, and the first thing to settle is whether you are comparing like with like. The Coolset record covers only its EU Deforestation Regulation offering: structured requests to suppliers at several tiers for plot coordinates, harvest dates and legality documents, satellite screening, document checks and the filing of due diligence statements. The Persefoni record covers an organisational carbon inventory: Scope 1, 2 and 3 calculations, activity-data ingestion, reporting and plan-specific exports. A company that buys cocoa, soy or timber and a company that must report its greenhouse gas emissions may be the same company, but they are two workflows and, on these records, two separate purchases.

Where they touch is in supplier data and in the audit trail. Both products ask suppliers for information, and both records separate who may respond from who may send. Coolset states that supplier access is free and unlimited and asks you to check how requests are tracked and what happens to non-responders. Persefoni separates responding to requests in its Pro plan from sending and responding in Advanced, and the supplier page keeps a coming-soon label. On record keeping, Coolset describes versioned statements with a five-year history linked to shipments, while Persefoni describes report attachments, activity tracking and locking, and review controls that official pages label inconsistently as live or forthcoming. A statement filed to an authority and a report prepared for assurance are not the same record.

Entry terms and technology differ. Persefoni publishes a permanent free Pro plan, single-user at base, with an Advanced plan quoted on request. The Coolset record shows a standard and an SME option on its plans page, with the SME option stated as up to 20 direct in-scope suppliers, but no amount. Persefoni places APIs and its Integration Hub in Advanced, whereas Coolset states connection to an ERP by API, CSV or MCP without a supported-system list. Both are web products, and neither record establishes an offline mode. The records also say that satellite accuracy for Coolset and anomaly flags for Persefoni are vendor statements to be tested.

When each is the safer first demo

    Start with Coolset when

Coolset is the safer first demo when a deadline for filing statements on regulated commodities is the problem. Bring a plot file with the awkward cases in it: points and polygons, swapped coordinates, overlaps. Ask which errors are blocked and which are only flagged, then ask for the imagery, dates and baseline behind one flagged and one cleared plot. The record says the reviewed articles describe the regulation's rules, not the product's own file formats.

    Start with Persefoni when

Persefoni is the safer first demo when the need is a repeatable carbon inventory and one person can start in the free plan. Load a utility record and a supplier record, trace one result back to its input, factor and version, and ask which controls on the screen are live and which still carry a coming-soon label. Repeat the steps that need Advanced and label them as such.

    A two-week evaluation plan

    Ask Coolset

    • Ask for the plan, the commodities in scope, statement volumes and the integrations in the quote, and what applies above the stated cap of the SME option.
    • Ask for the technical documentation behind the ERP route, with a sample payload, and for the certificates behind the stated ISO 27001 and SOC 2 attestations.

    Ask Persefoni

    • Name the plan for each requirement and list the extra users, exports, connectors, onboarding and support that the free plan does not provide.
    • Ask for every capability marked coming soon to be shown live in your account, and for the date promised for any that is not.

Week 1, intake. For Coolset, send a structured request to a test supplier chain, let the supplier upload plots and a legality document, and check how the tracking handles a supplier who answers late or never. For Persefoni, import a sample utility bill, test unit validation and duplicate detection, and correct an approved record to see the history it leaves. Neither record establishes a free trial in the usual sense; Persefoni offers a permanent free plan to use, and Coolset needs a vendor-run environment.

Week 2, outputs. In Coolset, generate a statement, submit it to the authority's test route if one exists, inspect version, signature and reference number, and cause a rejection to see how it is handled. In Persefoni, produce the report or export you need from the quoted plan, attach evidence and ask who can change it once locked. Finish by listing what each product would still leave you to do outside it, such as the carbon work for the first and the deforestation work for the second.

What the records do not establish

    Coolset

    • A price, or commodity-by-commodity scope.
    • Accepted file formats, overlap checks or validation rules for plots.
    • Offline or mobile field use.
    • That satellite screening or AI-assisted document checks meet a given accuracy, or that a filed statement is accepted by an authority.

    Persefoni

    • An Advanced subscription amount.
    • That coming-soon supplier, audit and reporting controls are live in your account.
    • Disconnected calculation or mobile capture.
    • Any deforestation, plot or commodity due diligence capability.

    Neither product

    • That one product can replace the other: the records describe separate regulatory workflows.
    • Implementation effort, support quality or cost for the same programme.
