Where the two scopes differ
Both records are about construction paperwork in the field, and they place it differently. SiteDocs is described around signed safety forms: templates that can be limited to chosen locations, signatures from several workers on one document, linked follow-up forms assigned to a named person with a due date, worker certification records with reminders and dashboards for forms, signatures and missing records. Assignar is described around crews: scheduling, qualifications, timesheets and site diaries alongside configurable forms with assigned owners and statuses. The SiteDocs record says its signed form and certification record do not by themselves authorise a worker, and Assignar's says a form does not establish an investigation or permit system.
Credentials and outside workers are handled with similar cautions. SiteDocs sends expiry reminders and offers a connector route for certification records, and its record says reminders do not suspend access. Assignar's scheduler signals missing certifications and role mismatches, and its record calls them decision aids rather than a documented block. For contractors, SiteDocs documents SiteDocs Lite links for external workers, with its package announcement listing QR access to it under Pro; Assignar documents subcontractor records with alerts, and offers a public interface as an add-on.
Offline behaviour and price are described differently. SiteDocs says the phone app works offline once logged in and synced, queues uploads, depends on storage settings for history and photos, and has a web app that is not available offline. Assignar lists what its app can do offline from version 11.4.8 and leaves attachments and conflicts unverified. SiteDocs describes an annual price set by company size that covers every worker's login plus an unlimited number of forms and signatures, behind a call, and names Essentials, Pro and Max packages; Assignar publishes no amount and offers a demo-led test drive. Bring one scheduled job, one worker with a lapsed ticket and one equipment pre-check, then ask to see the scheduler's signal, the form with its reviewer and the same form completed offline.
A two-week evaluation plan
Ask SiteDocs
- Which package (Essentials, Pro or Max) and which extras (Workforce Management, SiteDocs Lite, Analytics, connectors) does the quote name, and how many external workers does it cover?
- Which forms, photos and PDFs stay on the phone by default, and which setting keeps history available offline?
Ask Assignar
- Are scheduling, forms and any Pay offering separate lines, and is the public interface quoted as an add-on?
- Which assignments and forms work offline at your app version, and what is the route for a Collaborative Form?
Week 1: run one crew briefing through both. In SiteDocs, prepare the phone while connected, record a toolbox talk with several signatures in flight mode and reconnect to find the record in the Admin Panel. In Assignar, complete an equipment pre-check offline and check the status and reviewer after it syncs. No free trial is verified for either, so ask for vendor-run workspaces on the package you would buy.
Week 2: test credentials and outsiders. In SiteDocs, let a test certification expire, see the reminder and how long the dashboard takes to show it, then open a SiteDocs Lite link as an external worker. In Assignar, schedule a worker with a lapsed ticket and see whether the scheduler warns, blocks or is silent, then look at a subcontractor's view. Ask each vendor to total the quote with everything you used.
Worked evaluation scenarios
These scenarios are hypothetical. They show how to turn the record facts into a demo test and what outcome would change a choice; they are not case studies or customer results.
Hypothetical: a toolbox talk with fourteen signatures in a basement
A foreman holds a briefing for fourteen workers in a basement with no signal and needs each signature on one record. The SiteDocs help articles describe preparing the phone by logging in and syncing first, a queue of items waiting to upload, and a permission that must be switched on before more workers can sign the same document. The Assignar help article lists forms other than Collaborative Forms among the items available offline from a given app version, and the record does not describe multiple worker signatures on one form. Record the briefing in flight mode, add signatures, then reconnect and find the record in each office view. If a signature or photo is missing, record when it was lost.
Hypothetical: a subcontractor's crew needs one form without a full account
A subcontractor's crew of six must complete a daily form on a client's site, and the client does not want to buy six full logins. The SiteDocs record describes SiteDocs Lite links for external workers, set up through company and location profiles in Workforce Management, with package availability to confirm, and the package announcement lists QR access to it under Pro. The Assignar record describes subcontractor documents with expiry alerts and a form-access model based on user tags, and describes no route for people outside the account. Set up an external company in each product and see which forms its workers can open. If the answer needs a higher package, add its cost.
Hypothetical: a supervisor wants to know which crews missed Monday's form
On Tuesday morning a supervisor asks which crews did not submit Monday's pre-start form. The SiteDocs record lists analytics dashboards for missing records, participation and signatures, and notes that refreshes are not real-time, with intervals from about five to six hours up to daily or weekly by dataset. The Assignar record describes form owners, submission statuses and dashboard review of site diaries and timesheets. Leave two crews out on purpose and ask each product to show who is missing, how soon the list appears and who is notified. If the list appears only after a refresh, decide whether that delay suits the supervisor.
