How Appenate charges
Appenate charges per user per month in USD, on three tiers, each at two rates: a lower one billed annually and a higher one billed monthly. Standard is USD 20 or 25, Premium USD 28 or 35, Pro USD 36 or 45.
On annual billing that is USD 240, 336 and 432 per user a year. Five users is the minimum on every tier.
Each tier is quoted twice, so the billing term is the first decision. The annual rate is the lower one on every tier, and the monthly rate (USD 25, 35 and 45) is the alternative. The record does not say what notice or commitment applies to monthly billing, so treat that as a question rather than assume it can be ended freely.
The yearly figures in the record are the monthly rate times twelve, so they are the ones to set against a budget that is fixed per year. Because five users is the minimum, the smallest purchase on any tier is five seats at that tier's yearly charge, and a crew smaller than that still pays for five.
Submissions are a second meter beside the per-user price. Only the Standard allowance is recorded, so count how many forms each user completes in a typical week before deciding the entry tier is enough, and ask whether Premium and Pro raise or remove the limit. The record asks buyers to confirm how the 1,500 a month is allocated, which decides whether it behaves as a pool for the account or as a limit that a busy user can reach alone.
Appenate is described as a configurable platform: the subscription buys the tool, and the buyer owns form logic, testing and administration. Budget internal hours, or a separate services quote, for building and maintaining forms next to the licence line.
Each step up the ladder adds the same amount per user on a given billing term: Standard to Premium and Premium to Pro are the same distance apart on annual billing, and the same on monthly billing, with the monthly step larger. The step is therefore predictable, but the record does not describe what separates the tiers beyond the Standard submission allowance, so judge each step against the vendor's feature list, not against the price.
The entry figure is a Standard price on annual billing with a five-user minimum and a submission allowance attached. Setting it beside a single all-features monthly price from another vendor is not a like-for-like comparison, so compare the tier you would actually need, on the billing term you would actually choose, with the extensions you require added in.
The extensions Appenate quotes separately are named in the record but not described, so a request for a quote should state the business use in plain terms, such as collecting submissions from people outside the user list or moving data to another system, and ask the vendor to name the extension that meets it and its price.
Appenate is a platform you configure, so part of the cost sits with you rather than on the invoice: someone has to design the forms, test them and keep them administered. Ask who will build the first forms and how many hours that is expected to take, and set that internal time beside the per-user charges before comparing with a ready-made checklist product.

What each Appenate plan covers, as recorded
- Standard
- Includes 1,500 monthly form submissions; how that allowance is allocated needs confirming.
- Outside every tier
- WebForms, white-labeling, Sync, Distill, Replicate and server hosting are quoted separately.
- Premium and Pro
- The record gives their prices but, beyond the Standard submission allowance, not what separates the three tiers; compare the vendor's feature list rather than infer it from price.
- External web submissions
- Someone outside your user list who fills in a form online may not be covered by the per-user price; the record says external web submissions need separate scope.
- Hosting and white-labeling
- These change who runs the service and what users see, so they bring support and data-location questions as well as a price. Ask who operates and patches a hosted server and in which region it sits.
- Sync, Distill and Replicate
- Named in the record as separately quoted options but not described there, so ask the vendor what each does and which one a stated requirement needs.
Entry cost, worked out
Standard: 5 users × USD 20 per user per month × 12 months = USD 1,200 per year.
Appenate for 10 and for 30 users, per year
| Rate | 10 users | 30 users |
|---|---|---|
| Standard (annually billed), per user | 10 × USD 20 × 12 = USD 2,400 | 30 × USD 20 × 12 = USD 7,200 |
| Standard (monthly), per user | 10 × USD 25 × 12 = USD 3,000 | 30 × USD 25 × 12 = USD 9,000 |
| Premium (annually billed), per user | 10 × USD 28 × 12 = USD 3,360 | 30 × USD 28 × 12 = USD 10,080 |
| Premium (monthly), per user | 10 × USD 35 × 12 = USD 4,200 | 30 × USD 35 × 12 = USD 12,600 |
| Pro (annually billed), per user | 10 × USD 36 × 12 = USD 4,320 | 30 × USD 36 × 12 = USD 12,960 |
| Pro (monthly), per user | 10 × USD 45 × 12 = USD 5,400 | 30 × USD 45 × 12 = USD 16,200 |

Editorial quote checklist
What to ask Appenate to put in the quote
Questions prepared by The QHSE Standard from the recorded terms and gaps; they are not statements from Appenate.
- A price for each extension you need (WebForms, white-labeling, Sync, Distill, Replicate, server hosting); none has a list price.
- How the 1,500 Standard submissions a month are allocated across your users.
- Which connectors and external-user submissions the quote includes.
- Taxes and the regional currency terms. A crew smaller than five still pays the five-user minimum.
- A disconnected inspection with photos, run on your own devices and ending in proof of server receipt. Offline storage that synchronises later does not show that alerts, approvals, AI processing or connector deliveries work while the device is offline.
- A written list of which task, notification, connector and report actions wait until a disconnected device synchronises.
- What follows an interrupted upload or a conflicting edit, including duplicates and rejected connector deliveries, and how each is shown to an administrator.
- Whether Distill is in the quote and, if so, which source systems, refresh schedules and data transformations it covers.
- A named owner for forms, permissions and report templates after launch, and for checking conditional safety logic whenever a form or source system changes.
- The app, folder, record and administrator permissions that separate customer or project data, shown on a test tenant, with the current SOC 2 report and the hosting region.
- Which AI features need a connection, and how qualified human review is enforced where the output is safety-critical.
- A short written scope for each separately quoted option you intend to buy, with its price, so that the per-user subscription and the extensions can be added up on one page.
- What notice or commitment applies on monthly billing, and whether a tier can be changed part-way through a term.
- Who builds the first forms and keeps them administered, and how many hours the vendor expects that to take for your sites.
